ABOUT THIS ROLE

STATUS AND TIME COMMITMENT: This is a full-time employee position with an estimated time commitment of 35 to 40 hours per week. While we are happy to accommodate some flexibility in schedules, we are looking for someone who can generally be available during core business hours, 9 AM to 5 PM Central Time, Monday through Friday.

SALARY: The salary range is $70,000–$78,000, based on fit and experience. While we do not offer a group health insurance plan, we are open to discussing health insurance reimbursement or other accommodations as part of the compensation package. This role also includes paid time off to support work-life balance.

LOCATION: This is a hybrid role. The majority of this role can be done remotely but it would be convenient to work or meet in-person from time to time.

TIMELINE: We are accepting interest in this role through February 7, 2025.. We are looking to begin working with someone by mid-February or sooner.

WHO I AM

I was in my 23rd year as a Licensed Professional Counselor, running a successful therapy practice. I reached my own excellence plateau and wanted to find a new way to leverage my unique gifts to make a positive difference in the world. I founded Fruehling Coaching nine years ago and discovered my true calling and my zone of genius. Combining my expertise in counseling with the transformative power of coaching, I now serve ultra-successful founders, CEOs, and Impact Leaders who are ready to transcend the limits of their success. My clients often feel they should be happy, but something is still missing. That’s where I come in.

I go beyond traditional coaching, blending brain science with deeper practices of mysticism to create a powerful synergy that expands my clients’ vision and transforms their reality. Together, we craft a future that is not only successful but vibrant, purpose-driven, and deeply fulfilling. I empower my clients to take command of their future-making, break through their excellence plateau, and find quantum growth in every area of life.

I’m a Nebraska native, currently living in Omaha with my husband of 31 years. Our adult son lives in Denver, Colorado. YOUR RESPONSIBILITIES

Support me:

  • Participate in strategic discussions, sharing creative ideas that drive business growth and helping to determine priorities and focus.
  • Proactively identify tasks I shouldn’t be handling and implement plans to help me delegate them to you or streamline them.
  • Manage my calendar with precision, ensuring appointments are scheduled while safeguarding my time and energy.
  • Oversee my email inbox, drafting communications or handling correspondence that doesn’t require my direct input.
  • Help me prioritize and stay ahead of deadlines so I can remain organized and focus on what matters most in my business.
  • Plan and arrange travel, ensuring all details are thoughtfully managed.
  • Track and support my networking efforts by maintaining notes on connections, identifying follow-ups, and nurturing key relationships.
  • Assist with social media engagement on LinkedIn by connecting with my network, facilitating conversations, and flagging areas for my direct involvement.
  • Attend meetings to take notes, track action items, and ensure follow-through.
  • Organize and coordinate details for speaking engagements and events to ensure I’m fully supported and prepared.

Support the business:

  • Oversee general operations, maintaining systems and processes that keep the business running smoothly and efficiently.
  • Project manage initiatives, creating actionable plans, managing timelines, and supporting implementation at every stage.
  • Maintain procedures, templates, and documentation while consistently seeking ways to optimize and enhance internal systems.
  • Manage and implement technology and online tools, ensuring seamless functionality across the business.
  • Track and present key business metrics in monthly meetings, providing actionable insights.
  • Keep our virtual office organized, with information that’s easily accessible and collaboration-friendly systems in place.
  • Coordinate and manage external service providers, source resources as needed, and oversee contracts to ensure smooth collaboration.
  • Implement marketing strategy and initiatives in collaboration with external partners, ensuring all efforts align with our brand voice and marketing goals.
  • Make simple updates to our Squarespace website, post blogs, and update Canva templates or Google Slides as needed and have a general eye for design (graphic design experience is not required but is a bonus).
  • Support my collaboration with our team of coaches by preparing agendas, managing contracts, and keeping everyone informed and aligned.
  • Leverage AI tools to boost efficiency, streamline workflows, draft content, and drive innovative problem-solving.

Support our clients:

  • Manage and oversee the entire client journey—from onboarding to renewal—ensuring a seamless, VIP luxury experience.
  • Handle client onboarding, including contracts, statements of work, and coordination with the Accounting team.
  • Oversee client scheduling, responding promptly and following through until all scheduling needs are resolved.
  • Maintain impeccable service by seeing client inquiries and issues through to 100% completion.
  • Develop templates and documentation to improve and streamline client support processes.
  • Curate thoughtful client gifts and proactively identify opportunities for meaningful, memorable touchpoints.

YOUR EXPERIENCE AND EXPERTISE

  • A bachelor's degree and 3 years of professional experience in a role that combines operations, project management, and executive support.
  • Proven success supporting entrepreneurial leaders with goal setting, prioritization, and execution.
  • Skilled at designing and improving operational systems and processes for efficiency and scalability.
  • Strong project management skills to create, manage, and execute detailed project plans.
  • Proactive problem-solver with creative and efficient solutions to challenges.
  • Excellent written and verbal communication skills, with the confidence to communicate openly and constructively, including giving and receiving feedback.
  • Strong organizational skills, with the ability to juggle multiple priorities, manage time effectively, and plan ahead to anticipate needs.
  • Experienced in managing external service providers and collaborating with outside teams.
  • Proficiency with technology and online collaboration tools, with a proven ability to learn and adapt to new systems. You have experience with: Project management tools like Asana or similar platforms: Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, etc.), Squarespace or other website management tools, Canva or similar design platforms for templates and presentations, Slack, Dropbox, LinkedIn and other social media platforms, AI tools for streamlining workflows, content creation, and process improvement.
  • A general eye for design for creating polished presentations or visuals (graphic design experience is not required but is a bonus).
  • Ability to deliver exceptional customer support, ensuring every client interaction is seamless and professional.
