An AUTOMOTIVE OEM is looking for a Vehicle Procurement Specialist to support the organization's certification and compliance group. This LONG TERM CONTRACT POSITION (with possibility of extension and even transitioning to direct) will have a range of duties including interacting and coordinating with customers, reviewing documentation, maintaining database information, managing reports, and other general admin duties.
Day to day (5 days onsite each week):
- Responsible for the procurement of in use (customer) vehicles for verification and compliance testing
- Responsibilities include updating the annual master plan and tracking database (SAP), ordering and compiling customer information, creating and conducting mailings for both CA and MI, sorting responses, conducting phone screenings, greeting customers, conducting initial vehicle inspections, completing procurement agreements and general vehicle documentation
- Procurement agreements, vehicle documentation and inspections, include motor vehicle record requests, W9 incentive records, pre and post vehicle photographs and damage records, owner questionnaire, CarFax and warranty history checks
- Supports vehicle procurement for Ann Arbor MI, Chino CA, and high altitude testing facility
- Support project manager with incentive tracking and requests, mailing equipment maintenance and repair tracking, and mailing supplies
- Support project manager with weekly manager reports
- Support procurement governance documents and standard operating procedures
- Professional coordination of communications between procurement staff, test operations staff and testing entities, as well outside entities as necessary
- Exceptional organization and communication skills, both oral and written, are necessary for this position - expected to have strong people skills
- Conflict resolution related to timing, deadlines and performance quality will be another critical factor in this role
- Flexible work schedule to support California procurement or customers as needed
- Travel up to 10% (domestic and international)
Qualifications:
- Prior customer service experience is a plus
- Prior experience with scheduling, tracking invoices, working with quotes, POs, and/or general vendor support is a plus
- Prior Automotive OEM in-use vehicle procurement/compliance experience is a plus
- Prior experience with SAP is a plusfor this role
- Knowledge of vehicle emissions regulations, OBD (on-board diagnostic) system operation, and/or scan tools is a plus
- Awareness of HEV / PHEV / BEV is a plus
- Demonstrated ability to maintain confidentiality, high integrity and ethical behavior
- Associate Degree, Trade school or equivalent experience is a plus
- Valid Driver’s License and Satisfactory Driving Record
- Experience with MS Office - Word, Excel, PowerPoint, Outlook, etc.
- Project Management, time management and organization skills a plus
- Excellent oral and written communication skills required
Must Haves: Prior Admin/Customer Service Experience
