Job Description: As an Administrative Assistant in our tax preparation business, you will be the backbone of our office operations, ensuring that all administrative tasks are managed efficiently while supporting the tax preparation process.
Key Responsibilities:
· Client Interaction:
· Greet and assist clients, providing a professional and welcoming environment.
· Manage client inquiries via phone, email, or in-person, ensuring prompt and courteous responses.
· Document Management:
· Scan, organize, and maintain both digital and physical records of tax documents with meticulous attention to detail.
· Ensure all client files are accurately organized, named and filed.
· Software Utilization:
· Expertly use tax preparation software (e.g. CCH ProSytems FX or specialized software).
· Manage and update databases, spreadsheets (Advisor Engine, Microsoft Suite), and other office software.
· Communication:
· Draft, review, and send correspondence to clients and tax authorities.
· Handle scheduling of client appointments and meetings using calendaring software.
· Technology Support:
· Assist in troubleshooting minor hardware/software issues or coordinate with IT support when necessary.
· Keep abreast of new technology trends in tax preparation to enhance workflow.
· Administrative Support:
· Prepare reports, memos, and documents for tax professionals.
· Manage office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies.
· Manage delivery/setup of breakfast & lunch, as well as emptying dishwasher and disposing of old food
· Collect & distribute mail; prepare and send mailings
Skills and Qualifications:
· Education:
o Associate’s degree or higher in Business, Accounting, Computer Science, or related field preferred.
· Experience:
o At least 2 years in and administrative role, with experience in a tax or financial setting highly preferred.
· Technical Proficiency:
o Advanced skills in Microsoft Office suite and familiarity with tax software.
· Communication:
o Exceptional written and verbal communication skills; ability to explain complex tax concepts in simple terms.
· Detail-Oriented:
o High accuracy in date entry and document management.
· Problem-Solving:
o Ability to troubleshoot and resolve issues independently or know when to escalate.
· Confidentiality:
o Must demonstrate discretion in handling sensitive information.
· Time Management:
o Excellent organization skills with the ability to prioritize tasks effectively.
