REPORTS TO: Academic Dean, Chinese Studies Center
JOB LOCATION: Hybrid (Pasadena, CA)
EXPECTED START DATE: June 1, 2025
BRIEF DESCRIPTION:
The Chinese Studies Center’s Administrative Assistant provides communication, organization, and event support for the Academic Dean and Program Director of the CSC. The Administrative Assistant serves as the CSC “connecting liaison” with Fuller’s departments/offices, Chinese-speaking students, Chinese alumni, and the general public.
ESSENTIAL FUNCTIONS:
- Manage the Chinese Studies Center Scholarship (CSCS) program
- Organize and implement CSC conferences, events and activities
- Construct and maintain CSC annual budgets, with Excel and Adaptive programs
- Process all CSC expenses and invoices on CONCUR program
- Create and maintain lists of Fuller’s local and global Chinese-speaking students, current-year graduates, and alumni
- Update the CSC trilingual website and CANVAS account
- Organize CSC meetings, virtual or in-person, and compile meeting minutes
- Provide administrative assistance to joint-institutional activities, such as the Chinese seminarians joint gathering
- Serve as the CSC “connecting liaison” for Fuller’s public relations with Chinese-speaking organizations/Christians/prospective students in the local area and around the world
SECONDARY FUNCTIONS:
- Attend all-center meetings on behalf of CSC and update CSC Academic Dean and Program Director on any issues impacting CSC
- Keep strict confidentiality of information involving the CSC Academic Dean, Program Director, Fuller faculty members, and students
- Able to work both independently and collaboratively with the CSC Academic Dean and Program Director
- Other duties as assigned
KNOWLEDGE AND SKILLS REQUIRED:
- MA-level, professional, oral-written Chinese proficiency: able to draft official letters in Chinese; preferably an additional Chinese dialect
- MA-level, professional, oral-written English proficiency: able to draft official letters in English
- Able to multi-task and accomplish a variety of activities effectively in the midst of frequent interruptions, including meeting deadlines
- One to two years’ experience in an office environment required
- One to three years’ administrative experience in an academic environment preferred
- Organization and project management skills
- Proficiency working on an Apple/PC computer, and Google Apps
- Proficiency in Word, Excel, PowerPoint, and PDF files
- Academic and social networking skills for connecting with Fuller students/staff/faculty, local Chinese-speaking churches, seminaries, and organizations
PHYSICAL REQUIREMENTS:
- Able to sit or stand for up to 3 hours at a time
- Able to bend, grasp, and reach
- Able to hear and speak on the telephone
- Able to read, take notes, and view a computer monitor
- Able to conduct business at other offices on campus
ADDITIONAL REMARKS:
- This position requires a background check.
- The Administrative Assistant must adhere to Fuller's Community Standards.
- This is a hybrid position, primarily working from the Pasadena campus with some availability to work from home.
- This position is expected to begin in June 2025
PAY SCALE:
- The hourly range the seminary expects to pay: $23.00 - $25.00 per hour USD
