Functional Phyzio is hiring an in-person Client Services Coordinator to anchor our front desk and optimize our operations. This position is M-F, 8am-4pm M/W, 9:15am-5:15pm T/TH, 8am-3:45pm F.
We are a fast-growing, cash-based physical therapy clinic specializing in orthopedic and pelvic health services. Unlike traditional clinics, we take a holistic, individualized, and root-cause approach to care. As our Administrative Assistant, you’ll be the welcoming face of our clinic and a key player in ensuring our processes run smoothly. Beyond greeting clients and managing schedules, you’ll have the opportunity to analyze and enhance our workflows, making a tangible impact on our mission to deliver exceptional care.
What You’ll Do:
- Greet clients warmly and ensure they feel comfortable and supported at every visit.
- Manage scheduling (future appointments, rescheduling, cancellations) with efficiency and foresight.
- Handle client communications (phone calls, messages) with clarity and professionalism.
- Process payments and answer questions about payment plans, superbills, and the patient portal.
- Assemble goodie bags for package buyers with an eye for detail.
- Design and schedule social media posts, identifying trends to boost engagement.
- Develop content for our weekly newsletter, tailoring it to client interest
- Maintain a clean, organized clinic environment (equipment and floors).
- Analyze and compile monthly clinic metrics into actionable reports, spotting opportunities for improvement.
- Collaborate with team members to address client needs and streamline communication.
- Take intake calls with potential clients, assessing their needs and optimizing the onboarding process as needed.
