Key Responsibilities:
- Vendor Coordination: Obtain pricing from vendors, ensuring cost-effectiveness and quality.
- Job Scheduling: Coordinate job schedules with internal team and customers for timely project completion.
- Procurement: Purchase necessary supplies, materials, and equipment, maintaining optimal inventory.
- Job Ticket Creation: Create detailed job tickets, following a checklist to document all necessary information.
- Customer Communication: Finalize job schedules with customers two weeks prior to the start date and ensure customer satisfaction through all phases of the project.
- Billing Coordination: Communicate finished costs and instructions for billing, and complete estimates versus actuals for each job.
- Handle various administrative tasks as needed.
Skills:
- Proficiency in Microsoft Office suite
- Strong time management and calendar management abilities
- Ability to multitask and prioritize tasks effectively
- Knowledge of office procedures and protocols
- Strong phone etiquette
- Excellent organizational and communication skills
