Job Overview
We are seeking a highly organized and bilingual (English & Spanish preferred) Legal Receptionist/Administrative Assistant to be the first point of contact for clients at our firm. This role is vital to maintaining our commitment to client care, professionalism, and confidentiality. The ideal candidate will possess strong communication skills, a professional demeanor, and the ability to handle multiple tasks efficiently in a fast-paced environment. Experience in a law office setting is preferred, particularly in personal injury and medical malpractice practice areas.
Duties
- Manage incoming calls and emails, directing them to the appropriate personnel.
- Assist with client intake processes
- Greet clients and visitors with a warm and professional attitude.
- Schedule and coordinate appointments, managing attorneys’ calendars.
- Translate documents and communications between English and Spanish as required.
- Handle office tasks like managing mail, ordering supplies, and maintaining reception area.
- Assist attorneys with legal drafting and transcribing documents as needed.
- Support attorneys and paralegals with administrative tasks as needed.
- Maintain organized filing systems for both physical and electronic documents.
Qualifications and Experience
- Previous experience as a receptionist or administrative assistant, ideally within a law firm specializing in personal injury, medical malpractice, or civil rights.
- High school diploma or equivalent; additional legal or administrative training preferred.
- Bilingual in English and Spanish preferred
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Proficiency with office software (e.g., Office 365, Filevine)
- Ability to transcribe accurately and efficiently from audio recordings or written notes.
