Overview:
We are seeking a highly organized and detail-oriented Office Manager to join our team. As the Office Manager, you will be responsible for overseeing the day-to-day operations of our office and ensuring smooth and efficient functioning. This is a key role that requires strong organizational skills, excellent communication abilities, and the ability to multitask effectively.
Duties:
- Manage phone systems, including answering calls, taking messages, and directing calls to the appropriate staff members
- Oversee medical office management, including patient scheduling, record-keeping, and ensuring compliance with HIPAA regulations
- Maintain and organize files, both physical and electronic, ensuring easy retrieval of information as needed
- Assist with human resources tasks such as onboarding new employees, maintaining employee records, and coordinating employee benefits
- Manage vendor relationships, including ordering office supplies and coordinating maintenance services
- Assist with budgeting by tracking expenses and reconciling invoices
- Maintain calendars for staff members, scheduling appointments and meetings as needed
- Coordinate and plan office events or meetings
- Ensure phone etiquette is maintained by all staff members to provide excellent customer service
- Communicate effectively with staff members, clients, and vendors to ensure smooth operations
Requirements:
- Proven experience in office management or a related role
- Strong organizational skills with the ability to prioritize tasks effectively
- Proficiency in using various software applications such as Microsoft Office Suite (Word, Excel, PowerPoint) and electronic medical record systems
- Knowledge of human resources practices and procedures
- Experience in vendor management and budgeting is preferred
- Excellent calendar management skills
- Strong event planning abilities
- Exceptional phone etiquette and communication skills
- Ability to work independently with minimal supervision
