What The Role Is
The Administrative Assistant will provide comprehensive administrative support to ensure efficient office operations and a positive work environment. This position will be responsible for a variety of tasks ranging from proofreading documents, managing office supplies, assisting with meetings and events support, handling travel arrangements, and maintaining a professional and tidy office environment. What The Role Is
The Administrative Assistant will provide comprehensive administrative support to ensure efficient office operations and a positive work environment. This position will be responsible for a variety of tasks ranging from proofreading documents, managing office supplies, assisting with meetings and events support, handling travel arrangements, and maintaining a professional and tidy office environment. As an Administrative Assistant at FutureBrand, you’ll:
- Proofread various forms of correspondence and proposals for spelling, grammar, punctuation, and professional tone.
- Maintain strict confidentiality while supporting operations and completing administrative tasks.
- Provide general administrative support as needed, including scheduling and managing calendars.
- Assist with various administrative tasks across departments and perform other duties as assigned by manager.
- Set up, break down, and maintain cleanliness for client and internal meetings.
- Manage catering arrangements for client and employee events at the office.
- Handle domestic and international travel arrangements for staff using the Amex travel platform.
- Process and prepare shipping for overnight packages, including special deliveries.
- Serve as the primary point of contact for shipping agents (FedEx, UPS, Amazon, etc.) and coordinate office-related deliveries.
- Track and replenish office supply inventory at multiple locations.
- Maintain snack and beverage inventory and ensure its replenished regularly.
- Ensure office cleanliness by managing the dishwasher, coffee, plants, and conducting weekly fridge cleanouts.
- Review and process expense reports and purchase orders (POs) as required.
- Serve as a point of contact for building access at the Syracuse location.
- Support the Crisis Preparedness team during building emergencies.
- Previous experience required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with Outlook is a plus.
- Strong attention to detail, with the ability to proofread and edit documents for clarity and professionalism.
- Ability to multitask and work efficiently under pressure.
- Strong interpersonal skills and ability to work collaboratively with others.
- Ability to maintain confidentiality in all aspects of the role.
- Must be able to lift up to 25 lbs and handle physical tasks such as setting up meeting rooms or handling deliveries.
