Job Summary: The Medical Services Coordinator is responsible for ensuring that the patients' medical needs are met in a timely manner and the medical department operates efficiently and effectively. The Medical Services Coordinator oversees and coordinates the administrative functions of the medical department and follows direction from the Medical Director and Director of Nursing.
Job Duties:
- Prepare and review operational reports for Performance Improvement.
- Order equipment and supplies as directed by the Medical Director and Director of Nursing.
- Coordinate the supportive services in the medical and nursing departments.
- Coordinate prior authorization through specialty pharmacies.
- Assist in developing operational standards and procedures for the medical and nursing departments.
- Collaborate with Medical Director and Director of Nursing to establish goals, strategic plans, and objectives as well as make decisions about medical resources or equipment needs.
- Screen and interview for Medical Assistant position.
- Make decisions regarding hiring and termination of Medical Assistants.
- Oversee payroll functions and provide direct supervision for the Medical Assistants.
- Ensure compliance with procedural guidelines.
- Conduct weekly chart audits to ensure documentation standards are met for Joint Commission, DCF, and AHCA compliance,
- Assist the Medical Director and Director of Nursing in screening and interviewing candidates.
- Prepare the physicians/medical practitioner's monthly schedule.
- Triage patient care and prepare daily patient schedules for each practitioner.
- Take calls from medical staff regarding callouts / scheduling conflicts & ensuring appropriate coverage from a pool of per diem providers.
- Schedule outside appointments for patients when ordered by a medical provider.
- General uploading & document tracking.
- Lead/arrange staff projects, emails and & meetings.
- Assist with keeping track of patient/medical appointments daily.
- Act as the liaison between Medial/nursing/clinical departments.
- Act as the liaison between case management/ medical to assist with FMLA/ Short term disability Deescalate patients and manage crisis situations within the medical department.
- Manage complaints and grievances of patients and employees within the medical department.
- Assist with obtaining outside medical records when ordered by a provider.
- Maintain HIPPA compliance.
- Demonstrate a professional and positive attitude within the organization.
- Perform other duties as assigned by the Director of Nursing and Medical Director.
Qualifications:
- At least two years' experience in a mental health and/or substance abuse treatment setting
- CPR Certification
- Administrative skills, professionalism, time management
- Fast learner and adaptable to various roles
- Able to maintain confidentiality
