Overview
We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing comprehensive administrative support to ensure efficient operation of the office. This role requires strong organizational skills, excellent customer service abilities, and proficiency in various software applications. This position involves helping other administrative staff with database entry, correspondence, tracking and record-keeping of requisitions and submittals for contractors, scanning, greeting visitors, answering phones, scheduling and packaging.
Experience/Qualifications
The candidate will be highly organized, self-motivated, reliable, detail-oriented and able to multi-task and have a pleasant and helpful telephone demeanor. The candidate must have the ability to work independently, ensure follow-through and completion of tasks. Experience working in an Architectural and/or Engineering firm is required.
Responsibilities
- Provide exceptional customer service by addressing inquiries and resolving issues promptly.
- Assist in preparing reports, presentations, and correspondence as needed.
- Perform clerical duties such as filing, data entry, and document management.
- Proofread documents to ensure accuracy and clarity before distribution.
- Maintain an organized filing system for easy retrieval of information.
- Support team members with administrative tasks and projects as required.
Skills
- Proficiency in MS Word, Excel and Outlook is essential.
- Strong customer service skills with a focus on client satisfaction.
- Excellent proofreading abilities to ensure high-quality documentation.
- Effective time management skills to prioritize tasks efficiently.
- Strong clerical skills with attention to detail in all aspects of work.
- Experience in customer support roles is a plus.
- Exceptional organizational skills to manage multiple responsibilities simultaneously.
- Previous experience as a clerk or personal assistant is advantageous.
