Job Summary
We are a Veteran-Owned Business in search of a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for ensuring the smooth operation of our office, providing administrative support, and managing various clerical tasks. This role requires excellent communication skills, a professional demeanor, and the ability to multitask effectively in a fast-paced environment.
Duties
- Oversee daily office operations, including ordering supplies for jobs.
- Organize and maintain filing systems for contracts, project documentation, and other records.
- Manage correspondence, emails, and phone calls professionally and efficiently.
- Manage company schedules and calendars (Google Platform)
- Handle incoming client inquiries and provide accurate project information.
- Follow up on job progress, timelines, and client satisfaction.
- Assist in preparing job estimates, proposals, and contracts.
- Utilize Google Earth and estimating software.
- Assist with budgeting and invoicing.
- Track project costs and prepare reports for management review.
- Coordinate with project managers, subcontractors, and suppliers to ensure project timelines and deliverables are met.
- Monitor compliance with local, state, and other regulatory agencies, including permitting and safety standards.
- Support Management with special projects.
Experience
- Experience working with a Striping/Asphalt Company or in the Construction Industry in an administrative or office management role.
- Intermediate to advance computer knowledge t include Microsoft Office Suite (Word, Excel, Powerpoint)
- High level proficiency in MS Excel, using formulas, spreadsheets and pivot tables.
- Ability to handle and prioritize a high volume of projects
- Excellent communication skills and a high bar for accuracy and detail
- Ability to work independently in a fast-paced and rapidly changing environment.
- Accounting or bookkeping knowledge preferred; proficient with Quickbooks preferred.
