Job Summary
We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to our team. This role requires HR and bookkeeping experience, the ability to manage multiple priorities, and a commitment to maintaining confidentiality.
Duties
- Provide executive administrative support and oversee daily office operations.
- Screening and responding to communications on behalf of the team.
- Manage office operations, including maintaining office supplies and equipment.
- Organize and maintain service contracts, employee benefits, and lease agreements.
- Maintain employee handbook and standard operating procedure documents.
- Process accounts receivable and payables using QuickBooks Online.
- Manage cash flow projections.
- Post journal entries, reconcile bank accounts, and process check payments.
- Prepare and submit payroll to our payroll service.
- Administration of sales orders.
- Finalize sales orders by verifying that all client billings are presented as instructed by the project manager and ensure all costs are recorded.
- Prepare job cost and work-in-process reports.
Requirements
- Five years' experience as an Executive Administrative Assistant or similar administrative roles.
- Bachelor's degree in business, communication, or human resource management.
- Three letters of recommendation required with job application.
- Bookkeeping, office management, and HR experience.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Proficient in Microsoft Office Suite, particularly Microsoft Excel.
- Expertise with QuickBooks accounting software, QuickBooks Online is a plus.
- Payroll and payment processing system experience.
- Strong focus on accuracy in financial reporting and administrative tasks.
- Adept at handling sensitive information with discretion and confidentiality.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Ability to professionally communicate with clients and vendors.
- Capable of working independently and making decisions
- Proficiency with Salesforce is a plus.
