Executive Administrative Assistant

Our Research & Advanced Engineering (R&A) group is seeking a skilled Executive Assistant to provide comprehensive support to our Directors. In this role, you'll be responsible for managing complex calendars, coordinating communications, and handling confidential information with discretion. The ideal candidate is a proactive problem-solver with excellent communication skills, a strong sense of integrity, and the ability to thrive in a fast-paced environment. You should be comfortable working independently, taking initiative, and suggesting improvements to existing processes. Skills Required:

• Organizational & Time Management Skills: Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.

• Communication Skills: Excellent written and verbal communication skills for interacting with colleagues, clients, and executives.

• Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.

• Attention to Detail: Ensuring accuracy in data entry, scheduling, and document preparation.

• Problem-Solving Abilities: Ability to handle unexpected issues and find effective solutions independently.

• Interpersonal Skills: Building and maintaining positive relationships with team members and clients.

• Confidentiality: Handling sensitive information with discretion and professionalism.

• Adaptability: Ability to adjust to changing priorities and work effectively in a dynamic environment.

 • Customer Service Skills: Providing excellent service to internal and external stakeholders

 

Skills Preferred:

• Project Management: Experience supporting project teams with planning, execution, and tracking deliverables.

• Event Coordination: Ability to assist with the organization of corporate events, meetings, and conferences.

• Financial Support: Basic understanding of budgeting and expense tracking to assist with financial reporting.

• Research Assistance: Skilled in conducting research and gathering information to support team projects.

 

Experience Required:

• Administrative: 2-5 years of experience in an administrative role, preferably in a corporate setting.

• Technical: 3 years of proficiency with Microsoft Office Suite (Outlook, PowerPoint, Word, Excel) and internet/web applications.

 • Project & Event Management: Experience coordinating projects, including scheduling, resource allocation, and follow-up. Experience organizing meetings, conferences, and other corporate events.

• Financial: Experience with basic financial tasks such as budgeting, expense tracking, and financial reporting.

• Data Management: Experience managing and organizing data, including data entry and database management.

• Communication & Interpersonal: Proven experience in drafting professional emails, reports, and other business communications. Strong customer service and problem-solving skills.

• Location: Must be able to work on-site in Dearborn, MI, Monday-Friday.

 

Experience Preferred:

Proven experience with all aspects of travel coordination, including booking flights and hotels, arranging ground transportation, and managing travel itineraries.

 

Education Required:

High School Diploma or equivalent

 

Education Preferred:

Associate's Degree/ Bachelor's Degree

 Candidates must have previous executive support experience The successful candidate will be a strong communicator with excellent writing and editing skills, and comfortable working both independently and as part of a team in our open-concept office. They should be eager to learn new technologies and possess the organizational skills to manage multiple projects effectively. A flexible attitude, a willingness to support colleagues across global time zones, and a proactive approach to identifying and resolving issues are highly valued.
