Job Summary:
The Accounting Assistant will support the day-to-day operations of the Accounting department. This role involves, but not limited to, handling accounts payable and receivable, supporting month-end (and year-end, as needed) financial close processes, and Data/Project Entry. The ideal candidate is detail-oriented, organized, and capable of working in a dynamic, fast-paced environment.
Key Responsibilities:
- Accounts Payable: Process vendor invoices, verify expenses, and ensure timely payments.
- Accounts Receivable: Support Billing Specialist generate invoices for clients, manage collections, and apply payments.
- Payroll Support: Assist in preparing payroll by verifying employee timesheets and time entry.
- Data Entry: Maintain accurate and up-to-date records of financial transactions in the accounting system.
- Project Entry and Updating: Assist with accurate project entry into Deltek Ajera Accounting system, support Billing Managers and Project Managers as-needed.
- Month-End Close: Assist with month-end financial reporting, including reconciling accounts and preparing reports.
- Expense Reporting: Review and process employee expense reports, ensuring compliance with company policies.
- General Administrative Support: Provide assistance to the Billing Specialist, Strategic Controller and other members of the accounting team, and Project Managers as needed.
Qualifications:
- Education: Associate's degree in Accounting, Finance, or a related field (or equivalent experience).
- Experience: Minimum 1-3 years of experience in an accounting or bookkeeping role, preferably in a small to medium-sized business.
- Technical Skills: Proficiency in accounting software (Deltek Ajera a plus) and Microsoft Office Suite.
- Attention to Detail: Strong organizational skills and high attention to detail are essential.
- Communication: Excellent written and verbal communication skills, with the ability to interact with internal teams and external vendors/clients professionally.
- Team Player: Ability to work well in a team-oriented, family-owned business environment.
- Adaptability: Willingness to take on new tasks and assist with various aspects of the accounting function as needed.
Preferred:
- Experience in the engineering or construction industry.
- Familiarity with project-based accounting and job cost tracking.
