This temporary onsite role plays a vital part in facilitating tax filings, e-filings, and payroll reporting, contributing to the success of our clients and team during the busy season.
About the Role
As an Administrative Assistant, you will ensure the smooth operation of tax-related processes and provide essential support to the team. Your organizational skills and attention to detail will be key in managing client documents, coordinating submissions, and maintaining compliance with tax regulations.
Key Responsibilities
- Facilitate filings and e-filings, ensuring timely and accurate submission of tax documents.
- Assist with payroll reporting, including the preparation and filing of 1099 forms.
- Cross-check tax returns for completeness and consistency prior to submission.
- Perform error checks and verify calculations to ensure compliance with tax laws and regulations.
- Organize and maintain both electronic and physical copies of client tax documents for efficient retrieval.
- Follow up with clients to obtain missing or additional information needed to complete returns.
- Submit tax returns electronically using tax software and monitor for successful transmissions.
- Assist in setting up new clients in internal systems, ensuring all required information is properly recorded.
- Handle administrative tasks such as scanning, copying, and filing documents.
- Ensure compliance with document retention policies by securely archiving client records.
What We’re Looking For
- Strong organizational skills with meticulous attention to detail.
- Proficiency in using tax software and Microsoft Office applications (Word, Excel, and Outlook).
- Ability to manage multiple tasks and meet deadlines in a time-sensitive environment.
- Excellent written and verbal communication skills for client follow-ups and team collaboration.
- Prior experience in administrative roles, preferably in a tax or accounting firm, is a plus.
Work Environment
- This is an onsite role requiring regular interaction with the team and clients.
- Temporary position through May 1st, with standard office hours and occasional extended hours during peak filing seasons.
