Responsibilities
- Customer Service: Provide a welcoming and professional experience for patients, families, and visitors, addressing their needs with compassion and efficiency.
- Call Management: Handle a high volume of phone calls via RingCentral, including scheduling appointments, answering inquiries, managing medication pickups, and ensuring adherence to clinic policies.
- Bilingual Communication: Communicate effectively with patients and staff in both English and Spanish, serving as a vital link for diverse patients and team members.
- Appointment Coordination: Schedule, confirm, and manage appointments while ensuring clinic schedules are optimized for efficiency.
- Medication Support: Manage calls related to medication pickups, adherence follow-ups, and prescription inquiries, ensuring timely communication with medical staff.
- Administrative Support: Maintain accurate records, update patient files, and assist with Medicare and insurance documentation using tools such as G Suite and Microsoft Office.
- Time-Sensitive Coordination: Triage urgent patient needs and escalate issues appropriately to ensure timely resolution.
- Technology Utilization: Utilize RingCentral, G Suite, and Microsoft Office for communication, scheduling, and administrative tasks to streamline clinic operations.
- Team Collaboration: Work closely with clinic staff to ensure seamless coordination and communication in a fast-paced environment.
Required Skills and Qualifications:
- Proven experience as a receptionist in a medical or primary care setting.
- Proficiency in RingCentral, G Suite (Google Drive, Docs, Sheets, etc.), and Microsoft Office (Word, Excel, Outlook).
- Bilingual (English and Spanish) with excellent verbal and written communication skills.
- Ability to handle time-sensitive tasks and prioritize effectively in a fast-paced environment.
- Strong organizational skills and attention to detail.
- Exceptional customer service skills with a compassionate and patient-focused approach.
Requirements
- Familiarity with Medicare policies, claims, and patient documentation.
- Experience working with electronic medical records (EMR) systems.
- Knowledge of medication adherence practices and primary care workflows.
- Previous experience in a high-call-volume environment.
- Clear, articulate telephone voice.
- Outgoing telephone personality.
- Grammatically correct use of English both spoken and written (bilingual Spanish a big plus).
- Basic knowledge of Windows PC operating system and word processing fundamentals.
- High-school diploma or equivalent required.
- Strong customer service skills with a friendly demeanor.
- Excellent time management abilities to handle multiple tasks effectively.
- Strong computer literacy with the ability to learn new software quickly.
- Attention to detail with strong proofreading skills for document accuracy.
- Prior experience in office management is a plus but not required.
