What are the responsibilities and job description for the Administrative Assistant position at Galilee Church?
Galilee United Methodist Church is looking for a part-time Administrative Assistant to support the ministry and administrative affairs of the church by directly supporting the pastors of Galilee as well as providing administrative support to church staff, committees, and missions.
Please note: This is not a remote position.
This position is between 20 - 30 hours per week with a minimum of four (4) days onsite for office
coverage. Flexible schedule within core hours of 9:00 a.m.- 5:00 p.m.
Qualifications:
· A heart for the church’s vision of ministry
· Prior experience in office administration
· Ability to work independently but effectively in a team environment
· Proficiency with office-related technology and Microsoft software, including experience using and maintaining databases
Position duties include, but are not limited to:
Support to the Senior Pastor and Associate Pastor:
· Assists the Senior Pastor and Associate Pastor in carrying out pastoral and administrative duties both within the local church and beyond when their responsibilities extend to the District level, or the Annual, Jurisdictional, and General Conference levels to include annual forms and reports and weekly EVC data
· Maintains files, creates documents, tracks data, and compiles reports for the Pastors using a suite of office management software.
· Assists Pastors and Staff in preparing for weekly worship services
· Processes all requests for baptisms, confirmations, weddings, funerals, etc., including obtaining the necessary information, preparing the appropriate documents and certificates, and entering the information into all required Church Records (manual and automated). Also coordinates reservation of rooms as needed, collection of all fees, and filing of completed licenses to the county (weddings)
·Schedules various Pastor appointments such as requests with pastoral calls, visits to the homebound, new and prospective member meetings, and church committee meetings
Support to the Church, Staff and Committees:
· Maintains a comprehensive overview of all church ministries, functions, procedures, and building systems
· Maintains church calendar and facility use schedule (Ensures church policies are followed while processing requests for building space or other church resources)
· Receives and directs incoming phone calls, emails and walk-in requests and visitors
· Manages information received from weekly “Connection Cards”
· Manages Prayer Team lists and emails
·Coordinates recurring and seasonal programs, special projects and mailings
· Maintains church database for church engagement metrics to include membership and attendance (including on-line worship attendance)
· Maintains personnel records for all staff and clergy
· Maintains and assists with updates to the personnel policy manuals including office and church operating procedures
· Works with relevant staff to obtain background checks for new employees, and volunteers involved in youth and children’s programs
· Coordinates the purchase and management of all office supply inventory and equipment, particularly computers, printers, copiers, and software
Ideal candidates will have:
· Bachelor’s Degree (preferred)
· Prior church administrative experience
· Strong communication skills and ability to tailor communications to different
audiences (e.g., clergy, staff, congregants, etc.)
· Exercises good judgment in a variety of interactions with staff, congregants,
and visitors while maintaining confidentiality of information received and uses discretion as appropriate
· Strong attention to detail and follow-through with tasks

Pay: $25,000.00 - $35,000.00 per year
