The Project Administrator plays a vital role in supporting project managers and engineers by handling non-technical administrative tasks, allowing them to focus on project execution and technical expertise. The ideal candidate will be detail-oriented, capable of multitasking, and possess excellent communication skills. Responsibilities will include such non-technical tasks as document preparation, project database management, meeting coordination, external correspondence, internal cross office liaison, reporting, resource coordination and quality assurance. Additional duties include supporting marketing proposals, contract administration, and maintaining office supplies and equipment.

The Project Administrator role directly contributes to that success by streamlining project administration and enhancing efficiency.
Responsibilities:
- Provide administrative support to Project Managers and Engineers, including document preparation, reports, correspondence, and presentation assistance.
- Set up, maintain and organize electronic project folders, including contracts, permits, RFIs, and submittals.
- Coordinate meetings, prepare agendas, take meeting minutes, and manage follow-ups.
- Assist with marketing proposals, contract administration, and office supply management.
- Support project tracking, including workload updates, proposal tracking, and database maintenance.
- Customer service oriented; treats every interaction with staff, clients, subconsultants, contractors, and municipalities as an opportunity to market Galloway’s capabilities.
- Coordinate resources such as equipment, materials, and manpower as directed.
- Manage logistics, including submittals, deliveries, and arranging meals for meetings.
- Support quality assurance processes by maintaining standards compliance documentation and records.
Minimum Requirements:
- High School diploma required. Associate or bachelor’s degree in business administration, Accounting or Finance preferred or equivalent work experience.
- Typically, 2 years of progressive experience in project administration or project accounting. A background in architectural, consulting engineering, interior design, or professional services firm is preferred.
- Proficiency in project management software and MS Office Suite (Word, Excel, PowerPoint, Project).
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Attention to detail, and the ability to manage multiple tasks and deadlines.
- Excellent communication skills, with a proactive approach to problem-solving
- Valid State driver's license required.
The estimated starting base salary for this role is $55,000 - $65,000.
