Gangi Dental Care has an exciting opportunity as a Receptionist. The Receptionist will be the first point of contact for patients, responsible for providing excellent care and customer service. This role is crucial and requires communication skills to ensure exceptional patient care, manage communications, and ensure that the front desk runs smoothly, while maintaining high standards of customer service.
Responsibilities:
- Greet patients in a friendly and professional manner when they arrive at the clinic.
- Receive incoming phone calls and answer general questions about dental services.
- Register new patients and update patient information in the dental management system.
- Coordinate appointment scheduling, schedule appointments, and remind patients about their upcoming appointments.
- Handle patient payments and process dental insurance forms.
- Keeping the reception area clean, tidy and welcoming for patients.
- Assist clinical staff with administrative tasks as needed.
- Check voicemails, texts, etc. on any system.
- Keep patient records and information up to date, verify dental insurance coverage, and process payments.
- Follow patient privacy and safety policies and procedures.
- Other responsibilities as delegated by the Receptionist Leader as needed.
Administrative support:
- Maintain an organized reception area, ensuring order and cleanliness.
- Manage patients' insurance information, verify coverage, and process payments.
- Print End-of-Day Reports (EOD) and Monthly Reports (EOM)
- Coordinate the collection and shipment of patient cases to laboratories.
Appointment management:
- Coordinate and confirm patient appointments, follow-ups, and reminders.
- Ensure that patient information is up to date, patient profile, correct information and required documents, such as IDs, etc.
- Manage appointment scheduling to optimize efficiency and minimize downtime.
- Notify clinical staff of patient arrivals and ensure timely room change.
- Print and organize patient Route Sheets and HW Handwritens or Charts and keep patient information up to date prior to their appointment.
Team Communication and Collaboration:
- Act as an intermediary between patients and dental staff to facilitate patient flow.
- Communicate effectively with colleagues to convey relevant patient information and updates.
- Collaborate with other administrative staff to streamline processes and improve overall clinic operations.
Requirements:
- High school diploma or equivalent; additional certification or dental office administration training.
- Knowledge of the administrative routine.
- Full command of the English language, preferably Bilingual.
- Proven experience as a Dental Receptionist or in a similar role, preferably in a dental clinic setting.
- Excellent interpersonal skills with ability to interact professionally with patients and colleagues.
- Strong organizational skills and ability to multitask, with attention to detail.
- Proficient in dental software systems, such as Eaglesoft and Microsoft Office 365.
- Knowledge of preferred dental terminology, procedures, and insurance protocols.
- Ability to maintain confidentiality and handle sensitive patient information with discretion.
- Flexibility to adapt to changing priorities and work effectively in a fast-paced environment.
