Role:
To provide administrative support for faculty and staff within the Technical Education & Workforce Development division on a variety of tasks, duties, and responsibilities, including Community Education and non-credit customized workforce trainings, the Carl D. Perkins grant program. This position collaborates and communicates daily with faculty and staff on projects related to the Carl D Perkins grant programs, course fees, budget tracking, funding allocations, and other related activities related to meeting objectives of these grant projects. Additionally, this position will serve as the primary coordinator for non-credit workshops, courses, and trainings.
Essential Functions & Responsibilities:
40% - Assistant Perkins Coordinator
- Assist with budget tracking, including the delivery of regular monthly updates.
- Communicate regularly with Business Office as it relates to Perkins budgets and funding.
- Assist with procurement of grant equipment and supplies, including all required documentation.
- Assist with organization of all grant records and files.
- Assist with travel documents and requests associated with grant project.
- Assist with submitting regular Perkins reports to Kansas Board of Regents.
- Attend Perkins trainings (in-person and Zoom) on a regular basis.
- Other duties as assigned by Dean of Technical Education & Workforce Development and/or his/her designee.
30% -- Administrative Assistant for Technical Education Division
- Assist faculty with tracking budgets and funding allocations.
- Serve as liaison between Tech Ed faculty and Business Office, Registrar, Financial Aid, when needed.
- Assist faculty with submitting course fees on a regular basis.
- Assist with collecting a variety of data for reports to GCCC BOT, Administration, and Faculty.
- Serve as primary coordinator of all inventory in Technical Education division.
- Other duties as assigned by Dean of Technical Education & Workforce Development and/or his/her designee.
- Communicate regularly with dual credit coordinator as it relates to Excel in CTE courses and information.
30% -- Communication Education and Customized Workforce Development Coordinator
- Lead the increase of non-credit course offerings at the college including:
- Proactively brainstorm options with community members and industry partners.
- Recruit and collaborate with instructors to teach non-credit courses.
- Collaborate with Public Relations/Marketing team to advertise options.
- Assist with scheduling facilities.
- Complete required paperwork for all aspects of non-credit course development from registration, instructor payment, tracking budgetary expenses, etc.
- Successfully collaborate with other areas of the college (Student Records, Business Office, etc.)
- Other duties as assigned by Dean of Technical Education & Workforce Development and/or his/her designee.
Performance Measurements:
- Short- and long-term growth of Community Education including non-credit Personal Enrichment courses and customized Workforce Development course offerings at the college.
- Schedule and organize work to meet established deadlines.
- Ensure that all correspondence is free of spelling, typographic, and grammatical errors.
- Keep all assigned files and records current and well organized.
- Maintain a friendly, professional work environment and attitude when working with others.
- Function as a productive and positive contributor of the Technical Education & Workforce Development team.
Qualifications
Knowledge and Skills:
Experience •3-5 years experience in a role with similar qualifications and duties.
•Significant communication and interpersonal skills.
Education •Required: High school diploma (or GED)
•Preferred: Associate’s Degree in office administration or similar field.
Interpersonal Skills: Courtesy, tact, and diplomacy are essential elements of the job. Work involves building relationships with others inside and/or outside of the college for purposes of giving or obtaining information, building relationships, and soliciting cooperation.
Other Skills:
- Excellent oral and written communication.
- Extensive experience with Microsoft Office computer applications.
- Demonstrated ability to learn operational computer software such as the college's Student Information System used for purchasing, budgeting, course schedules, etc.
- Demonstrated ability to successfully track and execute multiple projects.
- Budgetary/accounting knowledge.
- Analytical skills are essential to learn existing college systems and leverage opportunities for growth and improvement in all aspects of the job.
Physical Requirements: Ability to stand or sit for extended periods; speak and hear clearly in group settings and at distances of 30 feet; maintain physical mobility, alertness, and composure; utilize appropriate presentation materials and equipment; and transport self and equipment to various campus/community/area sites as needed.
Work Environment: Regular exposure to favorable conditions such as those found in a normal office.
