Required Skills:
- Proven experience as an Office Manager, Administrative Assistant, Bookkeeper, or similar role.
- Strong knowledge of office management systems, including scheduling tools, MS Office Suite (Excel, Word, PowerPoint), Google Workspace, and QuickBooks Online.
- Strong understanding of bookkeeping practices, including financial reporting, payroll, and reconciliation. Solid experience in Quickbooks Online is required.
- Excellent organizational and time-management skills with the ability to multitask effectively.
- Strong attention to detail, accuracy, and problem-solving skills.
- Exceptional communication skills, both written and verbal.
- Ability to work independently and take initiative, while also being a team player.
- High level of professionalism, with the ability to handle sensitive and confidential information.
- Experience in the green industry is a big plus
- Must be able to implement systems where needed, be resourceful, and a critical thinker
Essential Duties and Responsibilities:
- Provide administrative support to managers and staff
- Schedule meetings, appointments, and occasionally travel arrangements.
- Handle incoming calls, emails, and inquiries.
- Provide written summaries, reports, and client correspondence
- Ensure office technology (computers, printers, etc.) are maintained and supplies are stocked
- Ensure all necessary subscriptions are kept up to date
- Bookkeeping related duties including but not limited to: AR/AP, Payroll, managing of staff benefits, monitor cash flow, ensure weekly/monthly/quarterly/yearly taxes are filed and paid, communicate with company’s accountant as needed
- Communicate with owner and supervisors
- Log and handle mileage and expense reimbursements
- Follow up with past due accounts as needed
- Ensure office storage rents are paid on time
- Assist with and format estimates, proposals, and invoices
- Assist in ordering materials and coordinate shipping & receiving of such
- Maintain all documentation and files in an orderly fashion
- Preparation of regularly scheduled reports
- Maintain records on all company vehicles and machinery, incl. property taxes, registration, insurance coverage, etc.
- Call in and update 811 Utility Locate Requests as required
- Move job prospects forward in an organized, cost-effective, and timely manner.
- Assist owner with managing calendar and critical client follow ups
- Ensure all needed reporting and billing are completed in a timely manner.
- Assist with insurance audits
