We are looking for an enthusiastic and detail-oriented Receptionist/ Administrative Assistant to join our team and help ensure the smooth operation of our daily activities. This position plays a key role in supporting our staff, interacting with families, and helping maintain the efficient functioning of our school.
Position Overview
We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is essential in providing excellent customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, a professional demeanor, and the ability to manage multiple tasks efficiently.
The Receptionist/ Administrative Assistant reports directly to the Director of Admissions and Principal. This person helps with the day-to-day school functions implementing clerical and administrative office procedures and systems, assisting the Director of Admissions, Principal, and Business Manager. This person is a strong communicator with excellent time management, organizational skills, and demonstrates the ability to make decisions with minimum supervision.
Job hours include Monday through Thursday, 7am-4pm and Friday, 7am-3pm.
Salary: $30,000

Responsibilities
- Greet and assist visitors at the front desk with a warm and welcoming attitude.
- Manage incoming phone calls, ensuring proper phone etiquette and customer support.
- Perform administrative tasks such as scheduling appointments, maintaining calendars, and organizing files.
- Handle correspondence including emails, letters, and packages with attention to detail.
- Proofread documents for accuracy and clarity before distribution.
- Support office management by maintaining supplies inventory and coordinating office maintenance.
- Assist in various clerical duties as needed to support team members and enhance productivity.
- Assist families, including those who speak Spanish, to the best of their ability.
Qualifications
- Proven experience in a front desk or personal assistant role is preferred.
- Strong customer service skills with the ability to interact positively with clients and colleagues.
- Proficient typing skills with attention to detail for administrative tasks.
- Excellent phone etiquette and communication abilities are essential.
- Familiarity with office management procedures and basic clerical tasks is advantageous.
- Ability to prioritize tasks effectively while managing time efficiently in a fast-paced environment.
- Proficiency in Google (Docs, Sheets, Slides) is preferred.
