On-Site Manager Job Summary
We are seeking an experienced and reliable on-site manager to oversee the daily operations at a 260-unit community association (mixture of townhomes and condominiums) in St. Louis Park, MN. In this position, you will work with the association manager, project manager, board of directors, committee members, residents, vendors and onsite staff to effectively manage the everyday needs of the community. This includes responding to resident needs, completing administrative requests, scheduling maintenance and repairs, as well as proactively managing onsite operations to ensure the community functions well. We also expect the on-site manager to provide regular status reports on the condition of the property and any issues that arise. Our ideal candidate has at least four years of property management experience.
Building Manager Duties and Responsibilities
- Be an experienced property/building manager, preferably with some background in maintenance, technical aspects or systems of buildings such as those in this association.
- Be proactive in maintaining the property by walking the buildings and premises on a regular basis looking for maintenance and cleaning issues and either directly addressing them or making sure that on-site staff promptly address them, then following up to make sure the items have been addressed and do not become an ongoing problem.
- Train, supervise and evaluate on-site personnel to facilitate tasks being done well and efficiently.
- Be the primary contact for resident and building issues, questions and complaints (during work hours).
- Prepare and distribute rule violation reminders, rule noncompliance fine notices; collect fines for rules violations as specified by management company
- Meet with vendors, address vendor issues, and schedule building preventive maintenance or repairs as specified by board and/or management company. Monitor performance of vendors.
- Maintain security key records, resident roster, garage stall roster, owner/renter label file, parking and vehicle records and miscellaneous office files
- Type, post, and remove notices for agendas, Board meetings, water shut-offs, garage sweeping, committee meetings (when requested) and Association events.
- Order office supplies, cleaning, and maintenance supplies (when requested) and other items as requested by Association Manager.
- Program and reprogram security access credentials and monitor security cameras during work hours.
- Issue and collect fee (if applicable) for fobs, garage cards, guest parking passes etc.
- Coordinate and maintain records for party room procedures including keys, deposits, rental fees and contracts.
- Schedule and collect fees for oversized trash pickups.
- Conduct and maintain records for orientation and move-in/move-out procedures; collect fee (if applicable).
- Distribute welcome packets and complete registration meetings with new residents.
- Assist in preparation and distribution of meeting packets for the Board meetings when requested.
- Miscellaneous administrative requests by association manager, board members and various committees
- Assist in the process of preparation for annual meeting when requested.
- Attend monthly evening Board meetings.
- Other assigned and related tasks as deemed appropriate for the position by the management company or the Board of Directors
Building Manager Requirements and Qualifications
- High school degree or equivalent; bachelor’s degree in related field preferred
- 4 years of property management or related experience
- Knowledge of local, state, and federal property regulations
- Proficient with Microsoft Office and property management software
- Organized and able to multitask with several timelines, projects, and responsibilities simultaneously
- Excellent communication skills
