Job Summary
The Administrative Assistant will report directly to the General Manager. The primary focus of this role is to support the day-to-day needs of the company, contributing to operational success and ensuring a smooth and efficient administrative process.
Key Responsibilities
- Staffing Support: Collaborate with the General Manager and HR to maintain appropriate staffing levels and reduce hourly turnover.
- Recruitment: Source, screen, and interview applicants using competency-based interview guidelines. Ensure that all applicants meet the necessary qualifications for the role.
- Applicant Tracking System: Review and manage the applicant tracking system, ensuring accurate records of applicants and job candidates.
- Onboarding: Coordinate and facilitate onboarding orientations for new hires. Ensure the onboarding process is executed and maintained properly.
- Out-of-Scope Monitoring: Investigate and secure customer approval for any out-of-scope requests using the Daily Out of Scope form.
- Payroll and Timekeeping: Monitor daily timekeeping, identify and resolve any discrepancies, and ensure payroll is accurate before closing each pay period.
- Internal Communications: Assist management with memos and communications. Maintain a “Read and Initial” communication system to ensure all employees review key information.
- Corporate Reporting: Ensure timely submission of necessary reports to Corporate Headquarters, including payroll change notices and profile changes.
- Recruiting and Training Coordination: Assist management with recruiting efforts, such as scheduling interviews, processing new hires, and coordinating training sessions, including SIDA and drug testing.
- Incident Reporting: Ensure all Occupational Injury (OJI) reports are documented and forwarded to Corporate Headquarters.
- Purchasing Support: Assist with purchasing activities as directed by management, ensuring that purchase orders and approvals are obtained as needed.
- Policy Adherence: Ensure compliance with company policies and procedures.
- Other Duties: Perform additional administrative duties as assigned by management.
- High School diploma or GED is required.
- Must be at least 18 years of age.
- Must be proficient in speaking, reading, and writing in English.
- Strong computer skills, including proficiency in Microsoft Word, Excel, and Outlook.
- Previous administrative and payroll experience is preferred.
- Must successfully complete all training requirements and maintain certifications throughout employment.
- Must clear an FBI fingerprint background check and obtain a custom seal.
- Must pass a pre-employment drug screen.
- Ability to work in a fast-paced environment.
- Must be detail-oriented and safety-minded.
- Strong communication skills to effectively convey instructions, policies, and procedures.
- Ability to provide positive and constructive feedback to employees.
- Maintain a thorough understanding of and adhere to all applicable federal, state, airport, and company regulations, policies, and procedures.
