The Dietl Operations Coordinator position in our New York City office involves working with galleries, museums, institutions, private collectors, and auction houses to develop and execute creative logistics solutions to accommodate packing, transport, timing, budgetary, and insurance requirements for all tiers of fine art shipments. We are looking for entry-level and/or qualified candidates who come with relevant experience beyond that.

Location: New York City
Job Type: Full-time in office, possibility to work a hybrid schedule after 6 months.
Work Schedule: This role follows standard 8:30 am – 5 pm hours; however, as we're a global company, occasional after-hours work may be required to accommodate different time zones and international collaboration
Key Responsibilities:
- Fulfill and complete Transportation Security Administration (TSA) training to acquire relevant certifications, including a 10-year Criminal History Record Check
- Communicate with customers, vendors, foreign agents, and all relevant stakeholders to plan, schedule, and execute bespoke, time-sensitive transport solutions
- Prepare estimates and budget proposals; varying in scope and complexity
- Researching and presenting transport schedules and routing options
- Advise on appropriate packing solutions for fine art, antiquities, and other luxury goods
- Interface and negotiate with air and ocean lines to book air and sea freight
- Understand and execute TSA-compliant Export procedures; drafting documentation such as AWBs, Delivery Orders; Packing Lists; Pro Forma Invoices; etc.
- Understand and execute Import procedures, abiding by all relevant US Customs regulations
- Preparing Shipping Documentation such as AWBs, Delivery Orders, Packing Lists, etc.
- Gain familiarity with all TSA compliance issues as they pertain to international shipments
- Gain familiarity with USA permitting needs including those of the US Fish and Wildlife Dept, the USDA, OFAC, and others regulatory agencies
- Creating and submitting invoices for services provided
- Provide live documentation and courier assistance at JFK Airport
