Summary
Provides Marketing administrative support to the Marketing department and GCW. Responsibilities include coordinating, processing and tracking proposals, organizing project writeups, and proposal closeout procedures. As Marketing Assistant, you will also have the opportunity to help develop marketing materials and content for GCW, including social media.
This role requires meticulous attention to detail, strong written and verbal communication skills, and the ability to manage projects, multi-task, and meet multiple deadlines. Since 1969, GCW has been providing innovative engineering solutions to clients in Nevada. Our 160 professionals provide civil and structural engineering, survey, and construction management services for both private and public clients in transportation, flood control, master planning, land development, and water and wastewater sectors. GCW is growing and we are searching for a Proposal Manager who can lead our proposals in Nevada and surrounding areas.
As Marketing Assistant, you will have the opportunity to learn the exciting industry of engineering and survey while supporting marketing activities throughout Nevada.
Essential Functions

- Position is in the office.
- Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings. Take notes in meetings, types and disseminates to appropriate people.
- Organizes and maintains file system, proposal closeout records, and CRM systems.
- Assists in composing and reviewing routine correspondence, and complex correspondence and reports specific to the department.
- Maintain and distribute Marketing production calendars and maintain proposal tracking document.
- Assists in developing content for proposals, internal communications, website and external marketing materials.
- Assist technical staff with tasks relating to report/document preparation including organizing, tracking, copying printing, and assembling, binding, folding report components in order to achieve the required deadlines.
- Obtain required signatures and approvals.
- Administrative tasks as needed for a growing office, including receptionist duties, office runner, assisting with event planning.
- Coordinate submittal reviews with internal departments and ensure all are returned and distributed to meet the required timeline.
- Retain and file all documentation including submittals and submittal deliveries, and project correspondence.
- Liaise and coordinate with internal departments as required to ensure accurate and timely submittals.
- Deliver documents, reports and submittals as required meeting required timelines/deadlines.
- General administrative tasks to support other departments, as needed.
Knowledge, Skills, and Abilities
- Ability to communicate clearly and concisely in written and oral communications.
- Ability to read and comprehend technical or compliance instructions, presentations, and memos.
- Must be able to read and comprehend detailed correspondence and reports.
- Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Can work under minimal guidance or supervision.
- Proficient in Word, Excel, and Project.
- Able to meet deadlines and multi-task.
- Must be self-motivated.
Education and/or Experience
High School and minimum 2 years following high school at professional office setting. Bachelor’s degree in Business, Marketing, Journalism, Technical writing, or similar field preferred.
