Overview:
Our Natural Resources Consulting firm is looking for an energetic, motivated, full-time Administrative Assistant in our Raleigh office. This position provides mid-level support to professional staff.
Requirements:
- Exceptional organizational skills, including the ability to prioritize and multitask a diverse workload.
- Excellent written and verbal communication skills with high degree of professionalism, attention to detail and confidentiality are required.
- Proficiency in MS Word, Excel, and Outlook required.
- Embraces technology.
- Must be energetic, motivated, and team oriented as well as able to work independently and take initiative to complete tasks, anticipate needs, and follow through on projects.
- Associate’s degree or higher, in Natural Resources, Business Administration, or other related degree.
- Three plus years’ Administrative experience.
Responsibilities may include but are not limited to:
- Answer multi-line phone system
- Provide Administrative support to Foresters and other staff
- Maintain strong business relationships with clients, local industry, and other stakeholders.
- Encourage innovation and continuous process improvement.
- Industry specific tasks related to projects, including tracking, preparation of reports, and follow-up.
- Prepare Invitations to Bid, process bids and collaborate with team to compile information for contracts and maps.
- Meeting Registrations / hotel reservations
- Initiate correspondence with purchasers regarding contracts, approvals, invoicing, obligations, and closures.
- Learn IT system and assist in coordination with IT company
- Coordination and Administration of annual hunting/recreational and pine straw leases.
- Reconcile industry specific settlements, resolve issues, and prepare client disbursals.
- Maintain accurate office records.
- Promote collaboration and teamwork at all levels.
- Perform general office and administrative tasks including, but not limited to, data entry, general correspondence, spreadsheet development and upkeep, preparation of correspondence and reports for mailing, communicating information throughout the office and to personnel in the field, and handling other duties as assigned.
