Responsibilities
- Manage daily office operations and ensure efficient workflow.
- Handle incoming calls and inquiries with professionalism and courtesy, demonstrating excellent phone etiquette.
- Perform data entry tasks accurately and efficiently to maintain up-to-date records.
- Organize and maintain office files, documents, and databases for easy retrieval.
- Assist in the coordination of meetings, appointments, and travel arrangements as needed.
- Utilize computer systems for administrative tasks, including word processing, spreadsheets, and presentations.
- Support the management team with various administrative duties as required.
- Handle Company payroll and accounting (including use of QuickBooks).
- Maintain office supplies inventory and order supplies when necessary.
- Collaborate with team members to enhance office procedures and improve overall efficiency.
Skills
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Proficient in computer literacy, including familiarity with office software applications (e.g., Microsoft Office Suite).
- Experience with phone systems and a solid understanding of phone etiquette.
- Previous experience in an administrative or clerical role is preferred.
- Excellent written and verbal communication skills.
- Ability to work independently as well as part of a team.
- Attention to detail with a focus on accuracy in data entry and record keeping.
- Experience with transportation scheduling (i.e., Routing Box).
- Experience negotiating pricing with medical facilities and other potential clients.
- Experience with finance.
- Knowledge of office management practices is a plus.
