Job Title: Contract Specialist
Summary/Objective:
GeoPoint is a land surveying company with multiple locations, specializing in land development, geomatics, energy, geospatial mapping, commercial surveys, and subsurface utility engineering.
The Contract Specialist role is essential in managing contract processes, coordinating bids, maintaining customer relationships, and ensuring compliance with Department of Transportation (DOT) regulations. The Contract Specialist will work closely with project managers, administrative staff, and clients to ensure smooth contract execution and compliance.
Essential Job Functions:
- Prepare, review, audit, and manage contracts and proposals related to surveying projects.
- Bid proposals, ensuring compliance with client requirements and industry standards.
- Audit the BST system regularly and identify any discrepancies, errors, or inefficiencies. Document findings and report any issues to the appropriate team for resolution. Ensure system functionality aligns with company processes and operational needs.
- Maintain and manage the company's Customer Relationship Management (CRM) system, ensuring all contract-related data is accurate and up to date.
- Ensure all contracts adhere to Department of Transportation (DOT) regulations and requirements.
- Work collaboratively with project managers and administrative staff to coordinate contract negotiations, amendments, and execution.
- Monitor contract performance and compliance, identifying any discrepancies and resolving contract-related issues.
- Research and stay updated on industry regulations, government policies, and contractual best practices.
- Assist in developing standard contract templates and documentation processes to streamline operations.
- Maintain organized records of all contracts, proposals, and related documents.
- Support project teams with documentation, reporting, and communication related to contract obligations.
Qualifications:
- Bachelor's degree in Business Administration, Legal Studies, or a related field preferred. Relevant experience may be considered in place of a degree.
- 2 years of experience in contract management, procurement, or a related role, preferably in the surveying, engineering, or construction industry.
- Familiarity with bidding processes, DOT regulations, and CRM software.
- Strong attention to detail and excellent organizational skills.
- Ability to effectively communicate and collaborate with project teams, clients, and stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and contract management software.
- Strong analytical and problem-solving skills.
- Ability to handle multiple projects and meet deadlines in a fast-paced environment.
Physical Demands and Work Environment:
- Regularly engage in sitting, standing, or walking activities.
- Occasionally handle lifting, carrying, pushing, or pulling items of varying weights.
- Perform reaching, kneeling, crouching, bending, or twisting motions as needed.
