Position Summary
The Office and Volunteer Manager will provide high-level administrative support to Senior Leadership. This role also involves event coordination, volunteer management, and general office administration. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. They will play a vital role in supporting the organization’s mission by ensuring smooth daily operations and effective team coordination.
Key Responsibilities
Board and Meeting Support
- Assist with scheduling and preparing materials for board meetings and committee meetings.
- Take minutes during board and other key meetings, distribute them to relevant stakeholders, and maintain accurate records.
- Assist with board correspondence and follow-ups, ensuring board members receive timely communication and documentation.
- Manage board-related documentation, including bylaws, policies, and committee charters.
Executive Support
- Provide direct administrative support to senior leadership, including managing office calendars, scheduling appointments, and handling confidential correspondence.
- Assist in drafting reports, presentations, and other written materials as needed.
- Coordinate travel arrangements and accommodations for senior staff.
Event Support
- Assist in the planning and execution of organizational events, including fundraisers, conferences, and volunteer appreciation events.
- Liaise with vendors, sponsors, and volunteers to ensure successful event logistics.
- Maintain event calendars and assist registration or ticketing systems for events.
Volunteer Management
- Assist in recruiting, onboarding, and scheduling volunteers for events and programs.
- Maintain up-to-date volunteer records and ensure compliance with organizational policies.
- Act as the primary point of contact for volunteers, providing necessary training, resources, and support.
Administrative Support
- Provide general office support, including managing office supplies, processing mail, and overseeing office equipment maintenance.
- Serve as a key point of contact for staff members, assisting with day-to-day administrative needs.
- Assist in coordinating cross-functional projects among various departments.
- Proactively collaborate with team members to ensure smooth organizational operations and communication.
Qualifications
- Bachelor’s degree or equivalent experience in administration, business, or a related field.
- Excellent organizational and multitasking skills, with a keen eye for detail.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and the ability to quickly learn other proprietary software programs.
- Experience with volunteer coordination is preferred.
- Ability to handle confidential and sensitive information with discretion.
- Passion for supporting the mission of a nonprofit organization.
- Must be capable of lifting/carrying 15-25 pounds, as well as standing, walking, and bending for extended periods.
Work Environment
- Office-based, with occasional travel for events or meetings.
- Some evening or weekend hours are required for events.

Compensation
- The expected salary for this role is $50,000 - $55,000 per year. George Snow staff are expected to work from our office in Mizner Park, Boca Raton, Florida, Monday-Friday 9:00-5:00. The position may require some evening and weekend work during the peak scholarship season.
