- Receive, prioritize, and schedule service requests from customers
- Dispatch technicians to service locations based on urgency, technician availability, and geographic location
- Communicate job details, work orders, and necessary parts/equipment to technicians
- Track job progress and update customers on estimated arrival times and service status
- Manage and adjust daily schedules to accommodate emergency repairs or last-minute requests
- Maintain accurate records of service calls, complete work, and technician notes in the dispatch system
- Collaborate with the parts department to ensure technicians have necessary supplies
- Provide excellent customer service by addressing inquiries, resolving scheduling conflicts, and keeping clients informed
- Monitor technician locations and optimize routing to maximize efficiency
- Assist with invoices, work order completion, and follow-ups as needed
- Prior experience as a dispatcher, scheduler, or coordinator (preferably in HVAC, plumbing, or commercial kitchen repair)
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- Proficiency in dispatch software, CRM systems, or similar scheduling tools
- Ability to work well under pressure and adapt to changing priorities
- Basic knowledge of commercial kitchen equipment and repairs is a plus
- Strong problem-solving skills and attention to detail
- Ability to work independently and as part of a team
- Valid drivers with a clean driving record as outlined our company policy
- Must be able to pass a satisfactory background screening
- The ability to sit for extended periods at a desk, operate a computer, and occasionally lift light objects (around 10-15 pounds), requiring normal visual acuity, hearing, and the ability to communicate effectively
