Summary of the Job:
This position is designed to support the office of the Vice President of Programs to ensure effective operation of Family and Children’s Ministries (FCM) programs. The Program Specialist should be committed to Sanctuary practice utilizing tools that reinforce our shared language to create a trauma-responsive culture.
Minimum requirements:
- At least 21 years of age
- Bachelor’s degree in related field; relevant experience could be considered.
- Strong written and verbal communication skills
- Ability to sit at workstation for extended periods of time; occasionally lift/carry parcels up to 35 pounds
- Read and interpret documents/procedure manuals
- Possess the ability, flexibility and maturity to render the duties and responsibilities required of this position
- Have the ability to manage time, set priorities and to organize and follow structured routines
- Advanced computer skills with the ability to learn new software applications
- Handle multiple tasks simultaneously
Primary Responsibilities:
- Maintain a copy of state contracts, ORCC rules and regulations, and all accreditation standards, remain knowledgeable of all current requirements and updates.
- Prepare correspondence and memos for Vice President of Programs as requested to support FCM programs, licensing, contracts and accreditation.
- Track programmatic and position changes across FCM programs requiring submission of change request notices and documentation to external licensing and contract agencies within required time frames.
- Represent the office of the Vice President of Programs at various state level meetings, including contract, licensing and other agency meetings, taking notes and communicating updates to the Vice President of Programs and FCM team, as well as other departments as needed.
- Attend all FCM meetings; prepare and distribute staff meeting minutes and memos and reports from the office of the Vice President of Programs
- Maintain records related to various FCM program operations including capital improvements, DHR cost reports, licensing, contracts and accreditation.
- Track evaluation due dates for all staff supervised by the Vice President of Programs, ensuring all information is gathered to complete evaluations according to schedule.
- Daily utilize multiple data management systems to monitor, track and input data to ensure information is current and correct. This includes use of State systems (ie- SHINES, GA SCORE, TRAILS) and agency systems (ie- extendedReach, PayCor, Financial Edge).
- Serve as one of the lead System Administrators for the agency’s client data management system (currently extendedReach), working collaboratively with the Vice President of Programs, Director of PQI/UM and other System Administrators to monitor client data and system use.
- Work collaboratively with Director of PQI/UM, HR, Finance department to develop and provide monthly, quarterly and annual reports related to client care to include incident summaries, days of care calculations and review for State of GA Cost Reporting.
- Regularly monitor client information and data entry processes in client data management system to assist in identifying any areas for improvement; help develop system trainings for users across FCM programs.
