JOB SUMMARY: Under direct supervision, performs a wide range of office administration duties for assigned functions or program areas, duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts
documentation, reports, or presentations. Represents program or unit, provides information and assistance to internal and external customers.
JOB SPECIFIC DUTIES: Performs a variety of general secretarial, clerical, and administrative support functions/processes or a few specialized or essential clerical functions in support of a unit or office and related personnel. May enter data and/or process documents and records. The work includes operating standard office equipment. Under the direction of the Administrative Officer, serves as the District Mail Courier and routes daily mail to the appropriate departmental units. Receives and ships items necessary and appropriate for district operations. Also, serves as the Records and Documents specialist for the department and assists the legal unit with sensitive or confidential files. May also assist with HR, accounting, or any administrative function necessary for district operations.
MINIMUM QUALIFICATIONS
The selected candidate must meet the advertised minimum qualifications to include State Entry Qualifications as well as Agency Specific Minimum Qualifications.
STATE ENTRY QUALIFICATIONS:
- High school Diploma /GED and two (2) years of job-related experience
AGENCY MINIMUM QUALIFICATIONS:
- Experience performing general office work to include duties such as secretarial, clerical, automated communication equipment usage, computer usage, accounting, and/or business management.
- Experience working in a government environment, or in the area of the advertised vacancy, ie. Administration, Accounting, HR, Construction, & Maintenance.
- Demonstrated experience in computer skills.
- Demonstrated experience in customer service.
- Demonstrates proper telephone etiquette.
- Ability to conduct limited research to answer customer’s questions.
- Ability to maintain routine clerical records.
- Ability to maintain and update filing, inventory and mailing system.
- Ability to perform basic bookkeeping.
- Ability to prepare all related reports.
- Ability to operate all office machines.

Good Employment Standing:
In accordance with the Interview and Selection Process (ISP), an applicant must have no active disciplinary actions to be in good employment standing. Actions that may disqualify an applicant include letters of reprimand (active for 12 months after issuance date); suspension without pay or disciplinary demotion (active for 12 months from the effective date); Performance Improvement Plans (PIP) and Leave Restriction Plans (active until 12 months after the date of conclusion). In addition, an employee must have an overall ePerformance rating score of three (3) or higher on their most current evaluation. Please note that Memorandums of Concern are not considered disqualifying factors. Human Resources may remove any employee from consideration for selection who is pending a disciplinary action; however, if the action is resolved in the employee’s favor, he or she will be allowed to compete.
