Essential Duties/Responsibilities
Grant Setup Management
- Review and approve project set up forms from workstreams and ensure that information is accurately reflected in NetSuite. Ensure all milestones and award tracking is entered correctly
- Review grant agreements to determine proper grant categorization for revenue recognition (exchange vs. contribution, conditional vs. unconditional, restricted vs unrestricted)
- Collaborate with development team to review proposals to ensure that GMF can comply with all provisions of the agreement
- Ensure that grants management team is aware of all technical milestones so that it can alert workstreams about upcoming deliverable.
- Ensure clear and audit ready grants records documentation and properly retained after the award close-out as per funders’ specifications.
- Ensure proper close-out of awards as per GMF and funders’ requirements.
- Review transactions for compliance with applicable grant and contract terms
- Prepare revenue related journal entries, billed and unbilled receivables, and deferred revenue.
- Prepare journal entries for periodic release of restrictions.
- Prepare journal entries for reclasses as needed.
- Prepare journal entries for revenue recognition
- Determined proper accounting and entries for net assets released from restrictions as part of the monthly closing process
- Submit and track all invoices to donors.
- Collaborate with the workstreams to reconcile grant/project expenses, revenue and award funding.
- Responsible for monthly check-ins with assigned workstreams.
- Assist grants manager with financial reporting
- Prepare ad hoc reports for internal and external distribution.
- Prepare funding requests for grant drawdown and reimbursements.
- Support the various audits GMF is subject to. This includes the annual financial statement audit, Uniform Guidance audit, and various individual project audits.
- Prepare required audit schedules.
- Provide tailored capacity building training to workstreams in collaboration with the Grants Manager.
- Assist Grants Manager to develop and update internal documentation, processes, and tools that govern the management of GMF’s external revenue.
- Work in close collaboration with other departments to develop and deliver training materials for GMF staff involved with the grants administration. Other duties as assigned.
- Bachelor’s degree in Accounting, Finance, Math, or related field
- 5 years' accounting experience in a large organization
- Working knowledge of grant accounting.
- Experience with US government federal regulations desirable.
- Proficiency in Excel
- Advanced proficiency in Excel and accounting software such as NetSuite.
- Prior experience in an international, cross-cultural work environment is essential with willingness to work flexible hours on an as-needed basis to serve the needs of a global organization.
- Proficiency in other languages a plus, especially German, Polish, Romanian or French (preferred, not required)

Salary : $70,200 - $87,800
