Job Summary
The Weekend Venue Coordinator is responsible for the effective and efficient coordination of events at Germantown Gables. 1 - 4 morning or evening shifts per month based on venue's weekend event schedule. This role serves as the primary point of contact for clients and vendors, ensuring a seamless venue rental and a positive experience for the client. The Venue Coordinator will work with the client's Event Planner to ensure venue upholds the standards outlined in the client's contract.
Duties
- Client Liaison: Serve as the main point of contact for clients during their event, understanding their needs, preferences, to tailor venue offerings accordingly.
- Vendor Management: Coordinate with external vendors, including caterers, decorators, and audiovisual technicians, to ensure all services align with client timeline and venue standards.
- Venue Setup and Breakdown: Oversee the setup or breakdown of events, ensuring the venue is clean and organized before or after events.
- On-site Venue Management: Manage on-the-day venue operations and coordinate with Event Planner in addressing any venue-related challenges that arise, to ensure events run smoothly and provide memorable experiences for guests.
- Compliance and Safety: Ensure all events comply with venue policies, safety regulations, and contractual agreements, maintaining a safe environment for all attendees.
- Open or Close Venue: Follow outlined opening or closing duties before or after events.
Qualifications
- Minimum 1 year of experience in the events industry, venue coordinating, or a similar role
- Associates degree or higher.
- Ability to problem-solve and remain calm under pressure during high-stress events.
- Proven ability to manage multiple tasks in a fast-paced environment while maintaining attention to detail.
- Ability to lift and move up to 15 - 20 pounds as needed for event set-up, breakdown, or room flip.
- Excellent communication and interpersonal skills, capable of building positive relationships with clients, vendors, and team members.
- Flexibility to work Friday - Sunday morning shifts or afternoon shifts.
