We are actively seeking multiple dedicated and proactive Office and Accounting Coordinators to become integral members of our rapidly expanding and innovative company within the entertainment sector. Key Responsibilities

  • Oversee daily office operations including scheduling, payroll coordination, and administrative assistance.
  • Foster and maintain positive relationships with vendors, ensuring adherence to company policies and local regulations.
  • Supervise the maintenance of office equipment, guaranteeing all systems are functional.
  • Collaborate with the Operations Manager to facilitate seamless scheduling and effective management of pickups, returns, and receipts.
  • Gather event specifics from producers and construct weekly crew schedules utilizing T-Sheets.
  • Monitor crew attendance and resolve any scheduling discrepancies.
  • Validate weekly payroll data, ensuring precision and compliance with company policies and relevant legislation.
  • Submit timesheet adjustments to Human Resources as required.
  • Process vendor invoices, credit card transactions, and recurring expenses.
  • Maintain organized records of vendor accounts and manage Certificate of Insurance (COI) requests.
  • Engage with vendors to address payment inquiries and negotiate payment terms.
  • Oversee out-of-pocket reimbursements and mileage reports, verifying accuracy prior to entry in QuickBooks.
  • Process payments and manage employee reimbursements and per diem.
  • Assist with recruitment tasks, including distributing job applications and facilitating onboarding for new employees.
  • Organize office functions, including staff recognition events and holiday celebrations.
  • Maintain office supplies and inventory, liaising closely with key vendors (e.g., FedEx, Staples).
  • Support the distribution of event materials and manage the company swag program, ensuring proper tracking of sizes and inventory.

Required Skills

  • Minimum of 1 year of experience in accounting and finance with a background in office management.
  • Degree in Accounting, Finance, or a relevant certification (e.g., bookkeeping).
  • Proficiency in QuickBooks Online, payroll software, and MS Office (Word, Excel).
  • Excellent communication skills with the ability to manage multiple tasks effectively.
  • Experience in vendor management, accounts payable, and payroll coordination.
  • Comfortable working within a Mac-based environment.
