Key Responsibilities

  • Oversee all office operations, acting as the primary liaison with our coworking space provider.
  • Manage lease agreements, contract negotiations, and coordinate office relocations as needed.
  • Lead initiatives related to sustainability and track relevant metrics.
  • Supervise IT equipment management, hardware leasing programs, and cybersecurity training.
  • Directly oversee the Operations Coordinator, who assists with recruiting, social media, and office administration.
  • Maintain strong vendor relationships, ensure compliance with insurance renewals, and manage budget allocations.
  • Administer payroll processes, bonuses, and contractor payments efficiently.
  • Facilitate onboarding and offboarding procedures, including performance reviews and training sessions.
  • Ensure compliance with employment laws and manage benefits administration.
  • Provide training to leadership on HR best practices and handle employee relations with confidentiality.
  • Oversee financial processes using QuickBooks, including accounts payable and receivable, while supporting tax compliance.
  • Implement employee engagement initiatives and lead award submissions for company recognition.
  • Provide executive support to the CEO, including calendar management and travel arrangements.

Required Skills

  • Bachelor’s degree in business administration, human resources, or a related discipline.
  • 7 years of experience in operations, HR, or administrative leadership roles.
  • Familiarity with employment laws, HR best practices, and financial tools such as QuickBooks and HRIS/PEO platforms.
  • Strong organizational abilities, multitasking skills, and meticulous attention to detail.
  • Proven capability to handle sensitive information with discretion.
  • An entrepreneurial mindset with a willingness to adapt to diverse responsibilities.
  • Experience in sustainability initiatives, with EcoVadis familiarity being advantageous.
  • SHRM-CP certification is a plus, though not mandatory.
