Key Responsibilities
- Serve as the primary contact for coworking space providers and manage lease agreements.
- Oversee budget management, cost control, and software resources.
- Lead sustainability initiatives, including conducting annual EcoVadis assessments.
- Administer cybersecurity training, oversee IT equipment, and perform software audits.
- Supervise the Operations Coordinator, who assists with office administration and recruitment efforts.
- Negotiate vendor contracts and facilitate yearly insurance renewals.
- Organize and facilitate weekly team meetings to ensure alignment across departments.
- Manage onboarding processes, payroll, performance reviews, and benefits administration for employees.
- Conduct and lead training sessions focused on compliance and best practices.
- Maintain and revise HR policies and the employee handbook as necessary.
- Handle employee relations with confidentiality and professionalism.
- Drive recruitment initiatives and support H-1B sponsorship applications as needed.
- Manage financial records and processes utilizing QuickBooks, including accounts payable/receivable and client billing.
- Support tax compliance efforts and collaborate with the CPA for audits and year-end reporting.
- Ensure the accuracy of Statements of Work (SOWs) in financial documentation.
- Design and implement employee engagement programs, team-building activities, and recognition initiatives.
- Conduct quarterly engagement surveys and analyze feedback for organizational improvement.
- Provide executive support through correspondence assistance, presentation preparation, and meeting note-taking.
- Oversee light scheduling and travel arrangements for the leadership team.
- A bachelor's degree in business administration, human resources, or a related field.
- At least 7 years of experience in operations, HR, or administrative leadership roles.
- Proficiency in QuickBooks, HRIS platforms (TriNet preferred), and Microsoft Office Suite.
- Exceptional organizational, analytical, and interpersonal communication skills.
- Demonstrated experience in managing sustainability initiatives, with EcoVadis experience being a plus.
- A detail-oriented and entrepreneurial mindset with the ability to prioritize various tasks effectively.
- SHRM-CP certification is preferred but not mandatory.
- Experience in operations, HR, or office management within a startup or service agency is advantageous.
