We are on the lookout for a highly skilled and results-oriented Chief Operating Officer (COO) to partner closely with the owner in steering and refining the administrative and business operations of an ambitious professional services firm. The ideal candidate will possess extensive experience, preferably in roles such as VP of Operations, COO, or Professional Legal Administrator (PLA), and demonstrate a proven track record in managing daily operations, implementing systems, and driving organizational growth.

Key Responsibilities

As COO, you will play a pivotal role in shaping the strategic framework and ensuring the effective execution of business operations. Your key responsibilities will include :

  • Directing the implementation of the firm’s business plan with an emphasis on reaching quarterly revenue and profitability targets.
  • Collaborating with the owner to craft and execute business strategies and operational procedures.
  • Analyzing performance metrics to inform strategic business decisions.
  • Supervising non-lawyer support staff and managing relationships with third-party vendors.
  • Overseeing recruitment, hiring processes, onboarding, and performance evaluation, including payroll and benefits management.
  • Ensuring business policies and procedures are documented, consistently organized, and audited for compliance.
  • Managing financial operations, including budgeting, financial analysis, and accounting practices.
  • Leading a remote team using best practices in communication and productivity.
  • Ensuring seamless operation of all digital systems accessible to the team.
  • Conducting regular risk assessments to identify and address potential business risks.
  • Managing projects through strategic planning and team collaboration to achieve scheduled timelines.
  • Cultivating a positive professional culture through effective leadership and promoting the retention of high-performing staff.

Required Skills

To excel in this role, you will need :

  • Proven ability to manage a multi-million-dollar budget (up to $7.5M).
  • Strong leadership skills effective in managing teams of 30 or more.
  • Analytical skills to guide business decisions based on performance metrics.
  • Expertise in recruitment, hiring, and performance management.
  • Proficiency in financial operations, including budgeting and accounting.
  • Capability to conduct risk assessments and implement mitigation strategies.
  • Excellent communication and project management skills.
  • Qualifications

  • A Bachelor's degree in management, business, human resources, or a related discipline.
  • Previous experience in managing a professional services firm or a division / department with a budget of at least $7.5 million.
  • SHRM or HRCI certifications are advantageous.
  • Demonstrated success in :
  • Leading teams of 30 individuals with full autonomy in staffing decisions.
  • Designing, managing, and overseeing a budget exceeding $7.5 million.
  • Thriving in a dynamic, high-growth entrepreneurial setting.
  • Advising senior leadership on strategic decision-making and development.
  • Executing, monitoring, and achieving business objectives.
  • Utilizing financial reports to drive business performance.
  • Implementing best practices in leadership.
  • Efficiently managing diverse projects.
  • Recruiting, developing, and retaining top talent while ensuring compliance with HR regulations.
