Job Overview

We are in search of a highly efficient and detail-oriented Part-Time Administrative Assistant to become an integral part of our team. This position offers the flexibility of working remotely, whether on a full-time or part-time basis. The ideal candidate will possess experience in QuickBooks invoicing and will be adept at handling administrative responsibilities, including the management of transportation contracts, especially those related to school bus services and out-of-district students. Key Responsibilities

  • Prepare and dispatch invoices to clients on a monthly basis or as required.
  • Monitor payments and follow up on overdue invoices to ensure prompt collections.
  • Maintain accurate records of invoicing and payments to promote financial transparency.
  • Engage with school districts regarding potential contracts and bidding opportunities.
  • Manage schedules for students and drivers to ensure appropriate shift coverage.
  • Professionally handle emails and phone calls, ensuring timely responses.
  • Coordinate meetings and appointments, optimizing calendar efficiency.
  • Organize and maintain spreadsheets, reports, and critical documents.
  • Assist in maintaining company records and files, ensuring organization.
  • Contribute to enhancing office processes and lend support to team members with various administrative tasks.
  • Organize inbound phone calls and direct them to the appropriate individuals.
  • Schedule and facilitate meetings, taking minutes when required.
  • Compose and distribute emails, memos, and letters.
  • Maintain an organized filing system and assist in the creation and updating of office procedures.

Required Skills

  • Proven proficiency in QuickBooks for invoicing.
  • Strong organizational acumen and multitasking abilities.
  • Excellent time management skills with the capacity to prioritize effectively.
  • Advanced computer skills, particularly in Microsoft Word, Outlook, and PowerPoint.
  • Exceptional communication skills to engage professionally and promptly with stakeholders.

Qualifications

  • High school diploma or GED is required; an Associate’s degree or administrative training is preferred.
  • Previous experience in an administrative support role is highly sought after.
  • Familiarity with office equipment, including printers and fax machines.
  • An eye for detail complemented by robust organizational skills.
