We are actively seeking a dedicated and professional Executive Assistant to support the Managing Partner in the seamless operation of daily activities. This role is crucial in managing a variety of administrative functions, fostering efficient communication, and upholding the highest standards of confidentiality.
Key Responsibilities
- Efficiently organize and maintain the calendar of the Managing Partner, including scheduling meetings and arranging travel.
- Manage correspondence, covering emails and phone calls, guaranteeing prompt and professional replies.
- Coordinate travel logistics for the Managing Partner and provide assistance with travel needs for staff as required.
- Regularly review and update the calendar with meetings, one-on-one sessions, and events.
- Color-code and monitor the Managing Partner’s Time Study on a monthly basis.
- Prioritize recruitment efforts by adeptly scheduling appointments on the calendar.
- Handle sensitive information with utmost discretion and confidentiality.
- Prepare and distribute weekly updates for the leadership team.
- Compile and disseminate monthly production reports.
- Organize and track details for financial security planning contests and manage other agency contests as necessary.
- Serve as the primary planner for firm events, overseeing all logistical elements, including major meetings and conferences.
- Provide ad-hoc assistance to C-Suite executives.
- Maintain accurate records for team meetings.
- Collaborate in supporting firm initiatives, including Diversity, Equity, and Inclusion (DEI) programs.
- Engage in the firm's Culture and Philanthropy programs.
- Coordinate the firm's annual golf outing.
- Proficient in Microsoft Office and possess strong computer skills.
- Exceptional interpersonal and communication skills, both written and verbal.
- Strong organizational abilities with a proven capability to multitask.
- Sound judgment and a commitment to confidentiality.
- Initiative and capacity to make independent decisions.
- Comfortable interacting with individuals across all levels of the organization.
- Bachelor's degree in business or a related discipline, or an equivalent combination of education and relevant experience.
- 3-5 years of experience providing support to executive-level professionals.
