Key Responsibilities
As the Event Planner, you will be tasked with:
- Managing comprehensive logistics for events, including venue selection and overall meeting execution, ensuring all elements from webcasting to facilitation are in place for success.
- Collaborating closely with venue Event Coordinators regarding logistical arrangements and space configurations to facilitate seamless event operations.
- Engaging with clients to ascertain event objectives and budgetary constraints.
- Utilizing your expertise in government event management to enhance client experiences and outcomes.
- Coordinating the distribution of printed materials such as name tags and briefing documents to attendees.
- Identifying and negotiating with service providers to secure necessary event resources and amenities.
- Overseeing room layouts to optimize program delivery and participant safety.
- Serving as the primary Point of Contact for all event-related inquiries.
- Leading strategic planning sessions with minimal supervision.
- Preparing and managing Requests for Proposals (RFPs) and tracking their response.
- Anticipating logistical needs for attendees and events.
- Ensuring quality control through vendor negotiations and contract reviews.
- Designing invitations and managing the registration process.
- Maintaining registration platforms and generating regular reports.
- Handling travel requests, arrangements, and correspondence as needed.
- Providing high-quality customer service and problem-solving support.
- Processing final invoices and maintaining precise records using Excel.
- Monitoring project status, data management, and financial compliance in accordance with Department of Energy guidelines.
- Supporting annual work package planning and ensuring timely project integration.
- Coordinating funding adjustments and baseline changes throughout the fiscal year.
- Liaising with financial representatives and project managers across various DOE programs and partners.
- Addressing critical inquiries from DOE-ID and DOE-NE representatives.
- Conducting expert-level reviews of management products and interfacing with financial personnel on DOE matters.
- A Bachelor’s Degree in Marketing or a related field.
- A minimum of 5 years' experience in event planning and public relations.
- Exceptional interpersonal skills, exhibiting professionalism in all interactions.
- Proven project management capabilities, adept at juggling multiple priorities.
- Proficiency in Microsoft Office 365 applications, including Word, PowerPoint, Excel, and Outlook, as well as familiarity with Microsoft Teams and Zoom.
- Knowledge of Federal Travel Regulations (FTR).
- Experience with Eventbrite and Cvent for event management.
