- Conduct research to identify new venues and activities within the San Antonio region.
- Design and manage site itineraries, ensuring smooth operations for the Sales team.
- Coordinate internal programs that align with our business development initiatives for hotel partners.
- Oversee the inventory of client and hotel gifts, liaising with vendors as necessary.
- Organize quarterly sales initiatives, including promotional blitzes and client appreciation events.
- Stay informed about industry trends, local developments, and innovative offerings to enhance our services.
- Participate in internal training sessions for continuous skill enhancement.
- Maintain precise documentation within established databases and business files.
- Prepare and submit reports related to our business operations within in-house hotels.
- Update manuals and communicate significant updates or issues with supervisors.
- Assist with various program operations as directed by the Director of Sales and Executive team.
- Support the Sales team with proposal drafting, vendor outreach, and pricing strategies.
- Follow organizational guidelines and dress codes as mandated.
- Assist in preparing, coding, and processing vendor invoices for payment.
- Act as a liaison for client inquiries, schedule meetings, and manage electronic filing.
- Engage with a variety of administrative tasks as the role evolves.
- Entry-level to mid-level experience, preferably with 1-2 years in sales or coordination.
- Demonstrated experience in proposal writing or event management, with a preference for candidates possessing DMC experience.
- Exceptional organizational capabilities and a strong attention to detail are essential.
- Excellent written and verbal communication skills.
- Ability to listen attentively and articulate ideas confidently in meetings with decision-makers.
- A proactive work ethic combined with meticulous record-keeping skills.
- Proven ability to manage multiple tasks effectively and prioritize workloads.
- A creative mindset with proficiency in visual presentation tools such as PowerPoint and Canva.
