Job Title: Property Administrator

We are pleased to announce an exciting opportunity for the role of Property Administrator within our esteemed organization. In this position, you will be an integral member of our on-site management team, facilitating smooth operations and ensuring exceptional service for both tenants and clients. Your proactive contributions will foster strong relationships and enhance the overall tenant experience.

Key Responsibilities

  • Manage incoming calls and provide assistance to tenants as needed.
  • Address inquiries by delivering routine information and relaying messages.
  • Oversee the receipt, distribution, and assessment of purchase orders; monitor them in our system, and notify personnel of any discrepancies or unresolved matters. Prepare monthly reports as required.
  • Organize special events such as holiday celebrations, welcome luncheons, book fairs, blood drives, and food drives.
  • Maintain an accurate inventory of office supplies and ensure the property staff directory is current.
  • Supervise external vendors to guarantee adherence to contractual obligations and insurance stipulations.
  • Aid in the preparation and management of service agreements.
  • Develop and uphold an efficient record-keeping and filing system; classify, sort, and file correspondence related to tenant files and other essential documents.
  • Handle accounts payable and receivable responsibilities, including reporting.
  • Organize and categorize invoices within our system.
  • Assist the Chief Engineer with updates on the electrical analysis worksheet as utility invoices are received.
  • Issue and track purchase orders, linking them to invoices for payment processing.
  • Record tenant rent payments and manage outstanding credits.
  • Compile and examine tenant billings and miscellaneous charges.
  • Provide the management team with reports on aged delinquency and issue late notices as needed.

Qualifications

  • A high school diploma is required; an Associate’s, Bachelor’s, or Master’s degree is preferred.
  • A minimum of 2 years of experience in commercial property management is essential.
  • Familiarity with software such as MRI, Workspace, and Yardi is advantageous.
  • Previous experience in real estate accounting and a solid understanding of the monthly accounting cycle, including accounts payable, accounts receivable, and commercial leases is necessary.
  • A professional demeanor complemented by excellent interpersonal skills.
  • Reliable transportation and a valid driver’s license are mandatory.
  • Proficiency in MS Word, Excel, and PowerPoint.
  • Strong verbal and written communication skills.
  • Capability to work independently and manage multiple tasks efficiently.
