What are the responsibilities and job description for the Office Administrator position at GFL Environmental?
The Office Administrator is responsible for the oversight and understanding of the overall process flow of office administration, customer service, scale operations, accounts payables/receivables, and payroll functions in order to assist with deadlines, team productivity and completion of various projects. Provide strategic leadership, have the eagerness and ability to learn, adapt, and work in a fast paced, multifunctional environment. The Office Administrator must be highly organized with strong communication and directorial skills.
Duties & Responsibilities
- Plan, prioritize, assign, and supervise the work of staff members; this includes scheduling, coaching, training, hiring, disciplinary actions, and terminations, etc.
- Perform customer service activities including responding to service inquiries, escalations and resolving problems
- Responsible for the oversight and completeness of the accounts payable process; ensure accounts are allocated to the correct GL code, maintain PO log, and monitor financial performance
- Partner with Operations and Human Resources with onboarding of new employees
- Assist with the accounts receivable process
- Manage customer credit limits and aging receivables
- Set up and edit customer accounts
- Partner with Operations to assist with payroll related functions; verify employee hours, and key in missed punches
- Approve and process voided tickets created in error
- Evaluate and resolve escalated invoice issues
- Daily deposits and maintain logs
- Create and/or maintain reports and MS Excel spreadsheets
- Provide support for corporate internal audit and systems projects when needed
- Provide backup support to all supervised functions
- Maintain office supplies and storage room
- Maintain a thorough knowledge of the Company’s available services, lines of business, pricing structures, and operation processes
- Monitor and evaluate departmental performance and productivity, identify operational issues and process improvements, and implement strategies to improve performance
- Maintain open communication with other departments and leadership to ensure fluid and effective operations
- Communicate and enforce company policies and procedures and all safety programs
- Perform other job-related duties as assigned
Qualifications
Required
- High School diploma or GED
- Valid driver’s license
- Two (2) or more years Office Supervisory or Management experience
- Ability to travel up to 50%
- Microsoft Office experience

- Knowledge of relevant equipment, DOT, OSHA, and other related state and federal regulations
- Ability to follow all company safety policies and procedures
Preferred
- BA or BS in business administration or a similar subject
- Solid Waste Industry or ancillary experience
- Bilingual: English/Spanish
