Position Overview:
As a Receptionist, you will serve as the first point of contact, providing exceptional customer service to visitors and assisting with various administrative tasks. You will play a crucial role in creating a positive and welcoming environment for all guests and employees.
Key Responsibilities:
1. Greeting Visitors: Welcome all visitors with a warm and friendly demeanor, ensuring they feel valued and comfortable from the moment they arrive.
2. Answering Inquiries: Respond promptly and courteously to inquiries from visitors, clients, and employees, providing accurate information or directing them to the appropriate person or department.
3. Operating Telephone System: Manage a multi-line telephone system efficiently, routing calls to the appropriate individuals and taking detailed messages when necessary.
4. Scheduling and Appointments: Coordinate appointments, meetings, and conference room bookings, ensuring schedules are organized and conflicts are minimized.
5. Administrative Support: Provide general administrative support, including data entry, filing, photocopying, and faxing documents as needed.
6. Mail and Email Handling: Sort and distribute incoming mail and packages, as well as manage outgoing mail and courier services. Monitor and respond to emails directed to the general inbox.
7. Maintaining Reception Area: Keep the reception area clean, organized, and presentable at all times, including replenishing supplies such as brochures, business cards, and refreshments.
8. Security Procedures: Enforce security protocols by monitoring access to the premises, and following established procedures for handling sensitive information.
9. Problem Resolution: Address and resolve any issues or complaints from visitors or employees courteously and efficiently, escalating to management when necessary.
Qualifications:
- High school diploma or equivalent; additional certification in office administration or related field is a plus.
- Proven experience as a receptionist or in a similar customer service role preferred.
- Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels. Bilingual is a plus.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
- Proficiency in using office equipment such as telephones, fax machines, and printers, as well as computer applications including MS Office Suite (Word, Excel, Outlook).
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Positive attitude, reliability, and a genuine desire to provide outstanding service to visitors and colleagues.
- The role may require sitting or standing for extended periods and occasional lifting of up to 20 pounds.
