Results Accountable to Achieve :
Ensure timely, accurate and complete posting of customer billings and subcontractor payments.
Manage all collections, provide critical AR data to management, ensure compliance with laws, regulations, and project-specific requirements while maintaining records of compliance practices.
Assist Project Management with necessary reports and analysis for effective project cost management
Primary Responsibilities
CUSTOMER BILLINGS
Meet with PMs to review AR / current month billings (bi-monthly)
Review AR job billings prepared by PMs and enter them into Sage
Prepare and track residential billings
Prepare and track 'Small Job' billings (600 Series)
Review Billings vs. Cost report to identify any missed billings
Review contract billing requirements to understand billing requirements and deadlines
Prepare and distribute billing reports
COLLECTIONS
Maintain cash receipt log and enter cash receipts daily
Routinely and professionally communicate with customers on payment status
Manage and facilitate weekly AR meeting with Executive Management
Prepare and distribute collection reports
SUB INVOICING AND PAYMENTS
Route sub invoices to PM’s
Respond to Subcontractor inquiries and maintain positive Subcontractor relations
Ensure timely, accurate, and complete Sub billings are posted by established deadlines
Provide AP with weekly listing of Sub invoices approved for payment release
COMPLIANCE
Track / log preliminary notices received
Proactively manage and track all compliance (GBI, Subcontractor, Vendor, and Sub Tier) items required for payment :
Lien releases
Certified Payroll
Union Letters
Other required
Caltrans Prompt pay set up and reporting
Monthly compliance reporting; OCIP, Skilled & Trained, Affidavit of Compliance etc
CONTRACT AND COST MANAGEMENT
Set up jobs in Sage
Import budgets from Heavy Bid into Sage
Enter / adjust cost codes description, budget estimates, budgeted / reported quantities
Monitor / facilitate process for any non-automated true-up data from Sage into Heavy Job
Import weekly equipment costs from Heavy Job into Sage
Generate weekly equipment surcharge and import into Sage
Reclass job costs as requested by PM's / PE's
Provide as-needed job cost reports for PM’s
Calculate monthly outside rental equipment fuel surcharge and import into Sage
Routinely closeout completed projects in Sage
Degree in accounting / finance or 4 years related experience required.
Construction industry knowledge is preferred and Timberline / Sage300, HCSS and Sage Paperless software use a major plus.
Must be knowledgeable in general accounting principles.
