Ghirardelli Associates is currently looking to hire an Accounts Payable & Payroll Specialist. This position will be based out of our Pleasanton office. This is an opportunity to work with an experienced team of professionals!
POSITION SUMMARY:
A successful Accounts Payable & Payroll Specialist is detail-oriented, highly organized, and meticulous with financial data. This role is responsible for managing the full accounts payable cycle, ensuring accurate and timely payroll processing, and maintaining seamless financial operations. The ideal candidate is adept at handling confidential financial information with discretion and excels in a fast-paced environment.
Key responsibilities include processing vendor invoices, reconciling accounts, managing employee payroll, ensuring compliance with tax regulations, and assisting with financial reporting. Strong analytical skills, proficiency in accounting software, and the ability to work both independently and collaboratively are essential for success in this role.
DUTIES AND RESPONSIBILITIES:
Included but not limited to...
Accounts Payable:
- Process and manage the full accounts payable cycle, including vendor invoices, expense reports, and payment requests.
- Verify invoice accuracy and reconcile discrepancies with vendors.
- Ensure timely and accurate payments through checks, electronic transfers, and other payment methods.
- Maintain up-to-date and accurate records of accounts payable transactions in the financial system.
- Coordinate with vendors and internal departments to resolve payment issues and discrepancies.
- Assist with month-end and year-end closing processes by ensuring proper documentation and accruals.
Payroll:
- Process bi-weekly payroll for all employees in compliance with company policies and legal requirements.
- Maintain accurate payroll records, including salary, deductions, benefits, and bonuses.
- Ensure accurate payroll tax calculations, filings, and remittances.
- Prepare and distribute payroll reports to management as needed.
- Address employee payroll inquiries in a professional and timely manner.
- Assist with year-end tax documentation, including W-2s and 1099 forms.
- Support the HR department with updates on employee status changes such as promotions, terminations, and new hires.
DESIRED SKILLS AND QUALIFICATIONS:
- High school diploma or equivalent; an associate’s degree in accounting, finance, or a related field is a plus.
- Minimum 2 years of experience in accounts payable and payroll processing.
- Strong knowledge of accounting principles and payroll regulations.
- Proficiency in accounting software (e.g., QuickBooks, SAP, or similar) and Microsoft Excel.
- Excellent attention to detail and strong organizational skills.
- Ability to handle confidential financial information with discretion.
- Strong communication skills, both verbal and written.
- Ability to work both independently and collaboratively in a fast-paced environment.
- Experience with payroll software (e.g., ADP, Paychex, UKG) is preferred.
