GENERAL SUMMARY
Under direction and supervision of the Executive Secretary as well as the CEO, CNO, CFO and CCO is responsible for performing comprehensive support services for Administration and for performing secretarial duties for the governing committees and other departments as assigned.

PRINCIPLE DUTIES AND RESPONSIBILITIES
- Keeps CEO, CNO, and CCO informed of Administrative activities, schedule of appointments, project progress, administrative problems and needs.
- Performs duties and is responsible for many of the Executive Secretarys functions in her absence.
- Cooperates with hospital staff to achieve goals and maintain good employee relations, interdepartmental relations, and public relations.
- Attends meetings as required such as in-service meetings and committee meetings.
- Keeps up-to-date in field of secretarial services as directed by CEO, CNO, CFO, and CCO.
- Organizes work schedule according to daily and non-daily responsibilities and duties.
- Answers telephone, receives and delivers messages.
- Handles correspondence, performs typing, filing, copy work and other clerical duties as required.
- Perform clerical duties for governing board in executive secretary absence.
- Prepares and distributes notices of meetings.
- Daily processes all incoming payments of patient accounts.
- Prepares deposits of monetary donations to the Foundation.
- Monthly addresses birthday cards for employees, physicians and board members.
- Monthly attends Management Staff meetings and records proceedings.
- Prepares Medical Staff packet (including committee minutes and other related documents) for bi-monthly Staff meeting. Attends bi-monthly Staff meeting and records proceedings.
- Prepares monthly physicians ER call schedule.
- Performs other duties as directed by CEO, CNO, CFO and CCO.
- Cover for Executive Secretary in her absence.
- Keep Executive Secretary informed of tasks that she is working on.
PHYSICAL REQUIREMENTS
- Physical strength to perform the following lifting tasks:
- Floor to waist - 20 pounds
- 14 to waist - 30 pounds
- Waist to shoulder - 10 pounds
- Shoulder to overhead - 10 pounds
- Carry 20 pounds for 30 feet
- Push 10 pounds/force for 15 feet
- Pull 10 pounds/force for 15 feet
REPORTING RELATIONSHIP
Reports to the Chief Executive Officer, Chief Operating Officer, Chief Financial
Officer, Chief Compliance Officer and Executive Secretary.
EDUCATION, KNOWLEDGE AND ABILITIES REQUIRED:
- High School diploma required.
- Competent and good working knowledge in all business machine operations and office management.
- Education and experience as required by Administration, Chief Operating Officer, and Financial Officer.
INFECTION EXPOSURE RISK LEVEL
Category 3 - No Risk - Your job does not involve exposure to blood, body fluids or tissue. You do not perform or help in emergency medical care or first aid as part of your job.
WORKING CONDITIONS
1. Works in an office with one other person.
2. Time constraints are a source of pressure due to required turn-around time monitoring.
3. Frequent interruptions are ongoing. The department is otherwise free form physical injury when proper safety guidelines are maintained.
